Position Summary

SUN is seeking an organized and detail-oriented Operations Coordinator to join our team. This is a full-time, hourly nonexempt position. The Operations Coordinator will play a crucial role in ensuring the smooth functioning of day-to-day operations, they will be the first and only full-time operations/finance staffer. This position involves handling a wide variety of internal tasks and will require the ability to keep multiple projects moving at the same time. This position will collaborate closely with the Executive and Deputy Directors, the bookkeeper, and the Finance and Operations Consultant.

Job Responsibilities

Administrative Support:

  • Manage office supplies and equipment, and order new items as needed.
  • Maintain an organized work environment and oversee office space.
  • Assist with scheduling meetings, appointments, and travel arrangements.
  • Handle incoming inquiries and provide general administrative support.
  • Be responsible for mail distribution and file it appropriately.
  • Take meeting notes for organizational meetings and ensure agendas are prepared and distributed
  • Coordinate organizational calendars
  • Event Coordination:
  • Coordinate logistics for events, including venue booking, catering, set up, and participant communication.
  • Assist in the development and implementation of event schedules and timelines.

Financial Administration:

  • Assist in budget tracking, expense reporting, and financial record-keeping.
  • Work closely with the bookkeeper to ensure accurate and timely processing and categorizing of invoices and receipts.
  • Maintain and update reporting spreadsheets and run financial reports in Quickbooks.

Human Resources:

  • Support HR functions, including assisting with the recruitment process, onboarding new employees, benefits enrollment, and maintaining personnel records.
  • Coordinate employee training sessions and workshops.
  • Assist in the maintenance and implementation of HR policies and procedures.
  • Act as a point of contact for employees regarding HR and benefits-related inquiries.
  • Liaise with the benefits provider as needed.
  • Fundraising and Database Management:
  • Assist in data entry and data management tasks as needed.
  • Prepare acknowledgment letters and receipts for donations in a timely manner.
  • Assist in the preparation of grant applications and reports, ensuring compliance with donor requirements.

Compliance:

  • Work closely with the bookkeeper, auditor, and lawyer to facilitate financial audits and compliance reviews.
  • Assist in ensuring compliance with reporting requirements, including filing annual reports and maintaining necessary documentation.
  • Manage staff participation with key advocacy compliance guidelines and best practices.
  • Renew organizational insurance policies annually.

Qualifications

  • Commitment to social, racial, economic, gender, and environmental justice.
  • Experience in administrative roles.
  • Strong organizational and multitasking skills with great attention to detail.
  • Completed courses in business administration, nonprofit management, finance, or a related topic.
  • Familiarity with Google Suite, Spreadsheets, Quickbooks, and Canva, among others.
  • Ability to work independently and collaboratively in a team environment.
