Job Summary

The Office Coordinator will provide support to the Museum and Administrative Offices including front desk reception, guest relations, operations assistance and overall administrative support.

About NMAAM – NMAAM is the only museum dedicated to educating the world, preserving the legacy and celebrating the central role African Americans played in creating the American soundtrack. The Museum shares the story of the American Soundtrack, integrating history and interactive technology to bring the musical heroes of the past into the present.

Job Responsibilities

Essential Duties and ResponsibilitiesIncludes the following. Other duties may be assigned.

Front Desk / Visitor & Guest Relations

  • Answering office phones, assisting callers, transferring callers to appropriate staff as appropriate.
  • Greet guests entering Administrative Offices and communicate to appropriate staff members.
  • Assist guests with rescheduling ticket reservation requests.
  • Create and schedule groups through ticketing system database.
  • Utilizes ticketing system database to track customers, fulfill group orders, manage seat allocations, generate invoices, and/or input other relevant data.

Administrative Support

  • Operations administrative support when/where needed.
  • Maintaining proper inventory of Admin Office supplies including ordering supplies, monitoring need and organizing storage; vendor correspondence as directed to follow-up on orders, invoices, service requests, etc.
  • Synology filing and organization of operations materials.
  • Retrieve and distribute mail/packages daily from mailroom.
  • Organize and maintain operations policies and procedures as directed.

Qualifications

Required Qualifications:

  • One or more years of administrative support, preferably in a corporate office environment.
  • BA/BS preferred
  • Understanding of nonprofit organizations and familiarity with community issues.
  • Strong written and verbal communication skills
  • Attention to detail
  • Superior organizational and time management skills

Knowledge/Skills/Abilities

  • Supports the mission, vision and strategic goals of NMAAM to serve both internal and external customers.
  • Conducts self in a professional manner; maintains appropriate professional appearance.
  • Follows and supports policies and procedures of NMAAM.

All Staff Duties:

  • Serves as leader to assure strong communications between NMAAM and all external constituents.
  • Actively seeks to learn the history of NMAAM.
  • Supports and promotes the museum’s mission.
  • Assist in the planning and implementation of special events.
  • Attend staff meetings.
  • Performs other duties as assigned.
