Job Summary

The primary responsibility of the Missions Ministry Coordinator is to lend support to the Director of the Missions Ministry in the areas of office administration, benevolence management, management of local and global mission teams, and participation in mission ministry activities.

Job Responsibilities

  • Prepare mission communications for newsletter, worship bulletin, website, email, and special events to ensure the congregation is aware of mission service opportunities.
  • Ensure church mission webpages contain timely and accurate information relevant to mission budget/projects/trips.
  • Coordinate Missions Ministry meetings and events; reserve spaces, create PowerPoint presentations, gather needed supplies, assign volunteer roles, etc.
  • Maintain copies of Missions Ministry minutes.
  • Distribute incoming communications to Mission Ministry members.
  • Assist Mission program volunteers with promotion, logistics, resources, etc. for special collections and events.
  • Coordinate all logistical aspects of adult mission trips including transportation, lodging, food, construction funds, medical supplies, etc. either directly or with a designated third-party trip organizer/sponsor.
  • Ensure all adult mission trip participants are provided information relevant to mission trips including costs, forms, required documentation, travel requirements, pre-trip preparation meetings, extra supplies, etc.
  • Other assistance as necessary for various trips.
  • Schedule mission trip payment deadlines and make sure all payments are made on time.
  • Assists in budget maintenance, tracking events and activities accordingly.
  • Assist the Director in donor relations, such as sending thank-you notes to mission donors.
  • Work with the Communications Ministry to request graphics, website updates, signage, etc.
  • Order and maintain supplies for the Missions Ministry.
  • Maintain a church-wide calendar of missional activities.
  • Oversees Missions volunteer training and logistics, ensuring all active volunteers in the ministry have a current background check, have completed an orientation, and understand their role.

Qualifications

Education

  • College degree, preferred.

Experience

  • Prior work experience in a church or faith-based non-profit, is preferred. 

Knowledge/Skills

  • High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook).
  • Ability to quickly learn and use the church database (Ministry Platform), the facilities reservation system (eSpace), and new software programs.
  • Excellent organizational skills with strong attention to detail and accuracy, and the ability to work independently, multi-task, prioritize, and manage time effectively.
  • Works well in a team environment, interacting with mission team members and other ministries to obtain information needed to complete tasks.
  • Proactive learning attitude and willingness to take initiative in anticipating the needs of the Director.
  • Exhibits professionalism and clarity in verbal and written communications.
  • Adaptable and flexible and able to deal with change, delays, and unexpected events.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Strong work ethic with a positive attitude, maintaining a positive relationship with other staff members, members of the congregation, and visitors.
  • An active, growing relationship with Jesus Christ, functional knowledge of scripture, familiarity with the Reformed tradition, and an ability to integrate the Christian faith into day-to-day work in a way that brings about a comfortable advancement of the Gospel in relationship with colleagues and others, is required.

While performing the duties of this job, the employee is regularly required to stand and to move about; to sit for extended periods of time; to use hands to operate office equipment; to talk and to hear when interfacing with staff, members of the congregation and others in person or on the phone; vision within normal ranges to read documents, and to use the computer.  On occasion, the employee may be required to lift up to 50 pounds during the preparation for and during mission trips and projects.

While performing the duties of this job, the employee primarily works indoors in an office setting.  The noise level in the work environment is usually quiet to moderate, with frequent interruptions.  During participation in mission trips and projects, the employee will work in a variety of settings including outdoors and in more rugged environments that are typical of underdeveloped nations.  Exposure to communicable diseases is a factor.
