Job Summary

Objective: To provide logistical support to the CYMT residency, certificate cohorts, and training programs. 

Supervision: The Residency Coordinator is supervised by the Ministry Residency Director and works in cooperation with all CYMT staff to accomplish the CYMT mission.

Hours:  20-24 hrs/week

Time Management: 

40% – Residency and Certificate Admissions and Enrollment

40% – Residency & Certificate Logistics and Communication

20% – Admin support to Ministry Residency Director

About CYMT:

The Center for Youth Ministry Training equips leaders and communities of faith to develop innovative, effective, and theologically informed ministries so youth may experience the love and grace of Jesus Christ, leading to identity and purpose. The CYMT accomplishes this mission through three primary initiatives: the Graduate Residency in Youth Ministry in partnership with Austin Presbyterian Theological Seminary; Theology Together; and the Innovation Laboratory. CYMT was created in 2006. 

Graduate Residency in Youth Ministry is designed to wholly equip today’s professional youth minister. During the 3-year program, residents receive practical training and coaching from CYMT and theological education at Austin Presbyterian Theological Seminary, where they earn a Master of Arts in Youth Ministry (MAYM) degree. Residents strengthen their education through work experience as a youth minister and expand their horizons on the practical implementation of ministry through community-based learning and one-on-one coaching.
 

CYMT-MLI Certificate Program is a two-year instructional cohort program, providing relevant ministry training and theological education for youth and children’s ministry leaders.

Job Responsibilities

Manage Resident Admissions & Onboarding

  • Work with the CYMT Admissions & Service Director to ensure applicants are successfully admitted to CYMT and APTS by:
    • Ensure timely communication with applicants
    • Ensure all materials for admission have been received
    • Ensure all resident references for accepted applicants are followed up with and notes are uploaded to the resident file
    • Review the applicant’s essay and transcripts prior to interviewing 
    • Schedule interviews
    • Compile application materials for admission of residents to Austin Presbyterian Theological Seminary (APTS)
    • Send acceptance letters and what to expect in materials
  • Work with the Operations Director to manage the onboarding and offboarding of residents to CYMT employees.

 Residency & Certificate Logistics and Communication

  • Oversee new resident orientation logistics:
    • Timely and comprehensive communications
    • Generate and manage the Schedule
  • Serve as liaison between CYMT and APTS for Nashville intensive logistics including:
    • Reserve lodging and classroom space
    • Oversee the Nashville Intensive Supply Coordinator to ensure all logistics are in place for all Nashville intensives
  • Communicate ongoing academic details to residents and staff in a timely and efficient manner
  • Oversee Resident travel including:
    • Ensure residents secure flights 8 weeks in advance 
    • Coordinate resident travel to/from the airport when needed for intensives (e.g. Uber rides) 
  • Foster a healthy learning environment at intensive
  • Ensure an Intensive Onsite Coordinator is selected for each cohort 
  • Coordinate Certificate Cohorts retreat logistics including ensuring comprehensive and timely communication about schedule, lodging, and food.
  • Manage Certificate program registration

 Admin Support to Ministry Residency. Director

  • Manages the book reimbursement process for residents 
  • Manages the 360 review process for second-year residents
  • Works with Graduate Residency Senior Director to collect and submit needed SPM

Supervisor information to APTS

  • Ensure that all students have access to the partner seminary platforms like MyCampus and MyLearning and correctly register for classes 
  • Provide academic support for residents to include but not limited to ensuring first years are registered for class, book lists are maintained, and  field questions
  • Maintain, update, and communicate to residents the Orientation Manual, Academic Handbook, and other academic policies
  • Manage some elements of resident HR logistics including reviewing and approving expense reimbursement, reviewing and approving time off requests, and managing accurate contact records.
