Job Summary

The Front Desk Coordinator is the first voice or first person that many stakeholders experience at CFMT. As such, the job requires hospitality, friendliness, and a service ethic. This position manages the flow of information and daily communication via phone, mail, email, a shared calendar, intranet, and in-person. This position provides vital support by facilitating communication and services to ensure our work is efficient and effective. This position is required to perform all duties on-site and does not allow for remote work.

The hours are generally, 9:00 – 5:00 pm (including a 30-minute meal break) M-F in-office. The schedule may be occasionally adjusted in advance to accommodate visiting groups or events. Overtime is paid for overtime hours worked.

Job Responsibilities

Phones

Welcome, inform, and appropriately direct all callers so that they can connect to the people and information they need:

  • Answer incoming calls promptly in a warm but professional manner
  • Check the general voicemail box and follow up appropriately
  • Connect callers to appropriate team members or resources

Greeting and Visitors

Welcome, inform, and appropriately direct visitors—acting as the first line of interaction between CFMT and the public:

  • Greet visitors in a friendly and professional manner
  • Inform appropriate staff members that a visitor has arrived
  • Manage schedule for multiple meeting spaces that frequently host outside groups
  • Help prepare meeting spaces and assist with the comfort of visitors
  • Assist visitors with internal systems (WiFi, audio/visual equipment)
  • Clear meeting spaces after use

Administrative

  • Open, date-stamp, and distribute mail in a timely manner, as needed
  • Take outgoing mail to the post office at the end of each day
  • Scan documents and other materials as requested
  • Provide administrative support to staff as needed

Other Duties and Responsibilities

  • Assist with special projects, events, and mailings as requested
  • Act as an on-site point of contact for any organization using the building for training, education, or other meetings
  • Provide backup assistance for the Operations and Administrative Coordinator, when needed

Qualifications

  • Strong, clear written and verbal communication skills
  • Skilled in Microsoft Office, Microsoft 365 preferred
  • Ability to be friendly while maintaining a professional demeanor
  • Flexibility and ability to maintain composure in a dynamic environment
  • Able to manage multiple tasks and remain focused in an open office environment
  • Comfortable in an office environment that is accessible to the community and hosts frequent gatherings
  • Ability to consistently meet deadlines and complete projects
