Job Summary

Position Overview
This position supports Leadership Music by providing accurate and timely financial reporting and assisting with the program through planning and scheduling meetings, preparing agendas, and more.

Job Responsibilities

Essential Job Functions (85-90% of time)
Financial

  • Follow accounting controls and processes. When necessary, recommend new controls and processes.
  • Enter bills into the accounting system, write checks, obtain signatures, make copies, mail checks, file copies.
  • Enter deposits into the accounting system, make deposit slips, make copies, take deposits to the bank, file copies.
  • Maintain multiple databases, including donations, development, and alumni.
  • Weekly and monthly-manage PayPal & Venmo accounts -includes transferring money to the bank account, entering payments into the accounting system, reconciling payments to the bank account, adjusting, or refunding as needed, researching payments and charges, and preparing reports.
  • Monthly-prepare reports for the treasurer.
  • Monthly – Prepare reports, reconcile bank accounts, accounts payable and receivable, enter payroll into the accounting system, and prepare adjusting journal entries.
  • Quarterly-prepare financial statements.
  • As needed-budget preparation for events, reviewing actual results to budget.
  • Annually-prepare for the annual audit, working with auditors to provide the support needed to complete the audit.
  • Annual tax preparation – assist with tax preparation.
  • Annually-update various non-profit profiles, including GuideStar, Givingmatters, among others.

Program

  • Daily or as needed-advise program committees and alumni advisors throughout the planning process.
  • Weekly or as needed-Organize, schedule, and send reminders for program planning meetings.
  • As needed-create program planning documents, create Dropbox accounts for each program committee, and add planning documents; help with the implementation of the curriculum.
  • Annually-Assist with the planning of co-chair orientation. Annually-Assist with preparation for nomination and selection.
  • Annually-obtain bus contract for each year, contract with hotels and venues for functions throughout the year.
  • Program days-manage logistics team, organize and prepare logistics documents, provide charter bus directives, and schedule archival filming.

Secondary Job Functions (10-15% of time)

  • Manage website, including changes and updates, creating forms for payments, applications, and nominations, creating links, creating pages for special events.
  • Other duties as assigned by Executive Director or Board Officers
  • Annually – Produce End of Year wrap up video.

Qualifications

Requirements

  • Education-College graduate
  • Experience-Experience with a non-profit, including financial responsibilities a plus.
  • The individual must have strong written and communication skills to support interaction with board officers and constituents and high-level executives.
  • A demonstrated ability to plan effectively, but the flexibility to handle the unexpected.

Working Conditions

  • Works in an office environment.

Physical/Mental Requirements

  • Must be able to deal with multiple tasks during a normal workday.
  • Availability to work hours beyond those hours defined as office hours including late-night events and program days (which are 12 hours) and overnight for the retreat weekend.
  • Must be able to drive a car.
  • Must be able to lift or move objects of approximately 20 pounds, in assistance with program days and special events.
