Job Summary

At the Scarlett Family Foundation, our effectiveness stems from exceptional organizational procedures and forward planning. To sustain and enhance this level of excellence, we are in search of a skilled administrative manager to assist in day-to-day operations. Work will relate to the general operations of the Foundation and specific tasks related to the management of the Foundation’s college scholarship program.

Objectives of this role:

  • Sustain ongoing dialogue with team members and external partners to guarantee smooth Foundation operations
  • Elevate the effectiveness of current methods and protocols to bolster the Foundation’s internal capabilities
  • Ensure that operational activities remain on time and within budget
  • Ensure the scholarship program operates smoothly and that scholars feel supported
  • Monitor workforce needs, recruiting new staff when necessary

About the Scarlett Family Foundation
Established in 2004, the Scarlett Family Foundation serves the forty counties of Middle Tennessee. Our vision is that every student receives a high-quality education to reach their full potential and become self-sufficient. It is our mission to advocate, invest, and work to ensure that all students in middle Tennessee have access to a high-quality education.

We seek to accomplish the mission by providing a four-year scholarship for Business and STEM majors from Middle TN while also providing grants to non-profit partners who work in the following areas:

  • Talent – We support organizations that foster diverse talent pipelines to recruit, train, and retain high-quality superintendents, principals, and teachers so every student has the opportunity to learn from the best.
  • Career Readiness – As over half of future jobs will require a post-secondary degree, we are invested in ways to better prepare our students for success after high school, which includes ensuring student preparedness at every step and increasing access to higher education.
  • Literacy – Literacy is a key building block for academic success, a crucial bridge to the attainment of a post-secondary credential, and essential to a self-sustaining life. We invest in organizations that promote innovative literacy strategies in Middle Tennessee.

Job Responsibilities

  • Daily administration of financial systems, human resources, technology, and related reporting
  • Conducts budget reviews and reports cost plans to management
  • Manages external business partner relations
  • Oversees accounts payable and accounts receivable
  • Works with the COO to develop the annual operations budget and monitor and report on budget tracking throughout the year
  • Maintains office functions and processes, including technology, and serves as the liaison with building management
  • Connects with external Human Resources partner to manage annual benefits plan and to evaluate and revise personnel policies and procedures regularly
  • Liaise with external IT partners and oversee support contract
  • Ensures staff have appropriate technology and equipment needed for job performance
  • Conducts planning for IT systems and needs
  • Provides administrative support for office operations as needed including, handling queries and correspondence, preparing for board meetings, and managing office supplies
  • Manages the Foundation scholarship program and relationship with partner organizations
  • Manages grantee and scholarship database in Salesforce.

Qualifications

Ideally, the Foundation seeks a professional who has:

  • Previous non-profit experience
  • Experience in finance, accounting, and an understanding of IRS regulations governing private foundations preferred
  • Demonstrated ability to build relationships and foster collaboration
  • Ability to effectively communicate with the Foundation board and non-profit partners
  • Experience collaborating within a small team
  • Positive attitude and problem-solving mindset
  • Remain current and knowledgeable of local and national public policy matters related to K-12 and postsecondary education, as well as private foundations and nonprofit organizations
  • An understanding of Salesforce and Microsoft Office Suite, especially Microsoft Excel
  • Candidates must submit to and pass a background check.
