Job Summary

Purpose: The Events Specialist is a part-time (25 hours per week) position that supports the Sexual Assault Center’s Development team. The position plans executes, and hosts several fundraising events throughout the year and works with the Development Department on special events such as donor cultivation and third-party fundraisers. This position is perfect for someone who is eager to increase direct public support by managing events and engaging corporate sponsors by sharing SAC’s story and mission. To be successful in this role, a candidate would need a background in event management and a strong track record of building and cultivating relationships with businesses and major donors that result in financial support and advocacy for our cause. 

Reports To: Director of Development

Job Type: Part-time, hourly position. 25 hours/week (evening, weekend, and additional hours may be required during the event season). Hourly rate of $23.00/hr.

Job Responsibilities

Major Duties Include:

  • Further the mission of Sexual Assault Center by planning, executing, and hosting several energetic and productive fundraising events.
  • Marketing and Communication: Design creative and appealing event materials, communication, social media posts, sponsorship packets, and signage. Identify event audience, create, and execute marketing plan, drive event promotion efforts, communicate event details with attendees.
  • Oversee event details and serve as point of contact for all vendors.
  • Event Design: Spearhead comprehensive event design including venue selection, food and beverage arrangements, thematic elements, décor, layout optimization, programming, seamless registration processes, security considerations, and meticulous itinerary planning to ensure flawless execution and attendee satisfaction.
  • Event team creation/management including Event Chair engagement and Volunteer Management
  • Work closely with the Development Administrator to construct event budgets, establish comprehensive planning calendars, facilitate fundraising activities during events,
  • Event Hosting: Day of point person for vendors, stakeholders, speakers, etc.
  • Maintain existing and develop new relationships with current and pipeline event donors and sponsors.
  • Procure new event sponsorships.
  • Create and execute cultivation plan for event stakeholders outside of event season.
  • Develop and maintain internal and external professional relationships to ensure positive event experience for all stakeholders.
  • Provide guidance and oversight for all SAC non-fundraising events supporting other departments.
  • Create strategy and oversee SAC’s Third-Party Fundraisers.
  • Coordinate and manage a run of show, vendors, and auction donors.
  • Plan and oversee Mad Hatter, Sexual Assault Awareness Month events, Cocktails for a Cause, Pub Crawl, and all other fundraising events.
  • Craft and implement effective follow-up strategies for event stakeholders. Survey client satisfaction to monitor quality control and improvements.
  • Perform other duties as assigned.

Qualifications

  • 2-5 years of events management experience required, preferably with a non-profit.
  • Bachelor’s Degree or related experience required.
  • Experience working with and maintaining a positive relationship with event chairs is required.

Preferred Qualifications:

  • Experience working with Network for Good, Canva, and other development and event tools.
  • Major donor relations experience.

  • Ability to effectively communicate with donors and vendors to build and maintain meaningful relationships and partnerships.
  • Strong written and verbal communication skills.
  • Ability to negotiate while maintaining positive relationships.
  • Comfortable on the phone and video to communicate with donors and event chairs.
  • Utilize good judgment to navigate uncertainty and conflict.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
