About the Role

Each employee at Big Brothers Big Sisters of Middle Tennessee helps extend the agency’s mission in particular ways, as outlined in the position description. The essential functions of the position include but are not limited to the following:

The E-Mentoring Program Coordinator will partner closely with the Manager of Site-Based Facilitated Programs to ensure the successful implementation of the E-Mentoring Program. This role includes leading the updating and implementation of the E-Mentoring Curriculum, and partners with Program Specialists to ensure the facilitation of weekly mentoring classes and regular program orientations for prospective volunteers, teachers, or school partners. The E-mentoring Coordinator is a crucial member of the Site-Based Facilitated team and will ensure the success and growth of the E-Mentoring Program by providing dedicated support for the unique needs of the program.

Job Responsibilities

Day to day: 

Enhancements to Service Delivery

  • Assist and support Program Specialists in facilitating weekly mentoring classes for mentees at participating schools, including discussion of the weekly curriculum.
  • Lead regular updating and developing the Mentor-U curriculum for the unique class, cohort, and school partner needs.
  • Enrich the E-Mentoring Program through the coordination of college trips, guest speakers, Big For a Day participation, and collaborating with E-Mentoring Program Specialists and Coordinators across programs to plan graduation celebrations.
  • With the support of the Manager of Site-Based Facilitated Programs, provide technical assistance and training for the virtual mentoring platform for program participants,
  • Assist the Manager of Site-Based Facilitated Programs in identifying opportunities for the development of the virtual mentoring platform to ensure that it enhances the quality-of-service delivery.
  • Supervise and support MentorCorps Fellows and Interns as they are deployed in the E-mentoring program.
  • In collaboration with the Manager of Site-Based Facilitated Programs, identify needs for quantity and qualities of volunteer mentors needed to match youth in partner schools.
  • Collaborate with the Manager of Site-Based Facilitated Programs to evaluate capacity, need, and implementation plan for new partner relationships.
  • Lead the facilitation and staffing of volunteer orientations and informational sessions for school staff, students, and businesses.
  • Work closely with school and site staff to ensure mentoring pairs are provided with the space, resources, and support needed on-site.
  • Collaborate with the Manager of Volunteer Experience to gather volunteer engagement data, evaluate results, and implement enhancements.

Quality Service Delivery

  • Manage a caseload of volunteer adults (Bigs) and youth (Littles) who have been paired in a mentoring relationship. Through regular support calls, continually assess the match relationship focusing on child safety, match relationship development, positive youth development, and volunteer and family satisfaction.
  • Conduct match introductions between the Little and Big in order to help facilitate early relationship development.
  • Identify, address, and resolve existing and/or potential match challenges through regular coaching conversations and in-person meetings.
  • Provide ongoing coaching, support, and training to help develop and sustain lasting match relationships that positively impact the youth served.
  • Assess volunteers and children for appropriate program participation by conducting initial and update interviews, orientations, and training. Obtain collateral material needed for assessment purposes, including criminal background checks and references.
  • Complete timely and comprehensive written assessments and recommendations for participation in the program based upon assessments of each individual.
  • Maintain up-to-date, accurate, and detailed documentation and database records according to Big Brothers Big Sisters standards.
  • The work schedule includes regular evenings and some weekend hours best to meet the needs of our families and volunteers.
  • Provide program participants with solution-focused strategies, resources, and training that will help to further support match participants.
  • In collaboration with the Manager of Site-Based Facilitated Programs, work to ensure that E-Mentoring Programming meets service delivery goals.
  • Assist Manager of Site-Based Facilitated Programs in tracking youth outcomes metrics for E-Mentoring and ensuring youth outcome goals are met.

Requirements:

  • Bachelor’s degree in social work or related field required or relevant youth serving experience.
  • Experience in project and/or volunteer management in a field related to social work, social services, or community relations preferred.
  • Prior experience working with high-school or college students and adult volunteers is preferred.
  • Must have a willingness to and experience with facilitating training and presenting to groups of people.
  • Ability to work from the main office but travel consistently to and from assigned sites/schools.
  • Passion for mission and desire to learn and grow professionally required.
  • Access to a reliable automobile, valid driver’s license, and auto insurance required
  • Understanding of issues/barriers that impact children and families from underserved populations
  • Demonstrated entrepreneurial spirit for project management and a desire to coordinate the planning and implementation of a new program

Performance Measures:  The Coordinator will be evaluated on his/her ability to perform the essential functions of this position; utilize their skills and abilities to meet annual individual, departmental, and organizational goals; complete projects and assigned tasks in an accurate, cooperative, and timely manner; set realistic priorities; and maintain his/her professionalism in interactions with staff, donors, and other major stakeholders.
