Nature and Scope of Position
This position is responsible for the care of existing exhibits, and all facets of the museum’s facilities management including safety and maintenance. Works with the Vice President to coordinate new exhibit projects and building updates. The Director will enhance the visitor experience by ensuring high-quality exhibits and a well-maintained building and grounds. Also maintains relationships with key facility partners including the City of Murfreesboro, contractors, and service providers.
Job Responsibilities
Facilities
- Oversee maintenance, repairs, preventative maintenance, cleaning, and updates of buildings and grounds.
- Build relationships and serve as a liaison for scheduling and coordinating with vendors, external contractors, and government and business partners.
- Serve as the initial point of contact for the security alarm company and first responder for all issues that pertain to the physical well-being of the museum.
- Serve as Safety Officer, implementing public safety and emergency procedures including updating and providing training to staff; assisting guests and staff during emergencies, updating of Safety Policies and Procedures Handbook, and chairing the Safety Committee.
- Oversee clean, organized, and safe facilities shop with tools in working order and ensure staff is trained in shop safety.
- Maintain a current and continuous inventory of departmental maintenance equipment.
- Develops and maintains an integrated pest management system.
- Responsible for the issuance of building keys and alarm codes, inventory of keys and codes, and the collection of keys and deletion of codes upon employee terminations
- Coordinate with program and events staff to ensure proper setup for lectures, events, classes, exhibition openings, meetings, and other events in the buildings and on the grounds.
- Compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time, including (and as applicable): the Property Information Book, Site Operating Manual, Safety Policy and Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Vendor Certificates of Insurance, As-built Drawings, and other reports and documentation as required.
Exhibits
- Support the Vice President and CEO in evaluating and revising existing and new exhibit spaces.
- Schedule maintenance and preventative maintenance of exhibits and diagnose and troubleshoot exhibit challenges to minimize downtime. Oversee the cleaning of exhibits.
- Plan and execute traveling exhibit installation and de-installation. Maintain contact with lending museums in regard to maintenance and questions concerning temporary exhibits.
- Supervise and participate in exhibit fabrication and installation.
- Safely store and maintain exhibit items ensuring adequate inventory of exhibit props and loose parts.
- Ensure daily safety and cleanliness of exhibits, buildings, and grounds before the museum opens.
- Keep staff informed of maintenance schedules and exhibit closures or repairs that impact the public.
- Maintains a current and continuous inventory of exhibit warranties, source information, and equipment maintenance requirements.
Administrative
- Manage department staff including hiring, training, supervision, discipline, and termination if required.
- Conduct walkthroughs of the museum with department staff on at least a monthly basis.
- Ensure timely repairs and work order system, track the progress of projects, and communicate effectively.
- In conjunction with the Vice President, CEO, and CFO develop and monitor budgets for facilities maintenance and repairs, custodial supplies, exhibit maintenance and repairs, and capital expenditures.
- Provide leadership and vision for department direction.
- Maintains a file of accident reports, first aid kits, and binders of MSDS sheets
- Attend All Staff meetings, Leadership meetings, Exhibit meetings, and Safety Committee meetings.

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required:
- Three years experience minimum in facilities, maintenance, or equivalent handy work preferred.
- Ability to drive a 26’ box truck and move all in-house exhibits from storage to the facility
- Possess a good working knowledge and skills of all systems on the site including HVAC, security, fire, electrical, plumbing, groundskeeping, housekeeping/janitorial, exterior and interior maintenance of the structures, electrical, plumbing, and carpentry.
- Ability to work a very flexible schedule that will include nights, weekends, and holidays including on-call availability when required.
- Must understand budgeting and allocation of resources.
- Must be able to work with contractors and vendors and possess knowledge of business practices in the museum profession.
- Must possess a valid Tennessee driver’s license
- Ability to interact effectively, professionally, and courteously with visitors, staff, and volunteers.
- Ability to relate to persons of all ages, diverse backgrounds, skills, and abilities.
- Ability to work on ladders.
- This job requires periods of standing, sitting, walking, stooping, kneeling, reaching, turning, twisting, bending above and below the waist, use of hands and arms, lifting, talking, hearing, and use of computer and keyboard. Must have the ability to use both hands in fine manipulation of small tools; the ability to see well enough to read handwritten and typewritten materials; push/pull up to 50-100 lbs., and regularly lift up to 75 pounds.
