Job Summary

Purpose: The Development Administrator is a full-time position that supports the Sexual Assault Center’s Development team. The Development Administrator is responsible for administrative operations including event administration, grant calendar maintenance, donation administration, and marketing and communications support. This position will provide front-desk coverage for the agency on Fridays from 8:15 am – 2:15 pm.

Reports To: Director of Development

Job Type: Full-time, salaried position. Some evening and weekend hours are required. Salary range: $47,000-$50,000. A typical weekly schedule will be 8:00 am to 5:00 pm, Monday through Thursday, and 8:15 am to 2:15 pm on Friday. On Fridays, this position will be required to cover the front desk.

Job Responsibilities

Major Duties Include:

Provide energetic administrative support to SAC’s Development Team in the Community Relations Department, furthering the mission of the Sexual Assault Center.

Event Administration:

  • Coordinate and manage all administrative aspects of events including but not limited to attendee lists, event mailings, letter generating, and tracking ticket sales.
  • Execute pre and post-event coordination including invoices, expense requisitions, and deposit returns.
  • Track and report all event revenue and expenses, monitoring all event budget lines.
  • Work closely with Event Specialists to construct event budgets, establish comprehensive timelines, and facilitate fundraising tracking during events.
  • Ensure event compliance.
  • Maintain the grant calendar by tracking all upcoming deadlines for grant applications, reports, and other related submissions, ensuring timely submission and compliance.

Donation Administration:

  • Enter donation checks accurately and promptly into the organization’s database.
  • Review and process gifts from various sources, including online platforms and direct deposits.
  • Generate acknowledgment letters for the CEO’s signature and thank donors via phone calls, emails, or videos.
  • Pull donor-giving reports to provide insights for decision-making and donor management.
  • Oversee donor mailings, including list merging, letter generation, and execution of mailing campaigns.

Board Member Management

  • Manage Board member records and commitment forms, updating documents across various platforms (letterhead, website, Giving Matters, donor management system group, etc.)
  • Monitor attendance and participation in meetings and committees.
  • Administer commitment forms and pledge reminders.

Financial Administration

  • Collaborate with the Finance team to reconcile monthly accounts, and create expense reports.
  • Maintained department budgets and ensured timely submission of outstanding invoices following established procedures.

Marketing and Communication Administration

  • Assist the Development team in crafting and sending monthly newsletters, e-blasts, appeals, and social media content in accordance with SAC’s brand guidelines.
  • Ensure the Development sections of SAC’s website are up-to-date and maintained with relevant information.

Client Support and Confidentiality:

  • Provide coverage at the front desk every Friday, from 8:15 am to 2:15 pm, ensuring exceptional service to clients checking in for appointments.
  • Demonstrate discretion and uphold client confidentiality while handling phone calls, greeting clients at the front desk, and managing donor information.
  • Oversee special projects as assigned.
  • Perform other duties as assigned.

Qualifications

  • 2-5 years experience in Administration required.
  • Strong experience in data entry, information tracking, spreadsheets, and reporting is required.
  • Excellent organization and attention to detail are required.
  • Excellent written and oral communication skills are required.

Preferred Qualifications:

  • Nonprofit Development experience preferred.
  • Bachelor’s Degree preferred.
  • Experience in WordPress or other Website tools is strongly preferred

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
