Job Summary
Job Summary: The Database Administrator provides a broad range of information services in support of fundraising efforts. This position is responsible for the administration and management of the Museum’s Altru database; the oversight of processing and entry of donor gifts and constituent information; interface with finance in the accuracy of gifts; and the extraction of data. This position works closely with staff across the Development team. Must have excellent communication, both oral and written and analytical skills.
Job Responsibilities
The following duties are normal for this classification. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Essential Job Functions:
- Input all member and non-member revenue such as gifts for membership, annual fund, gifts-in-kind, and general contributions received by the Development office.
- Work with front-of-house and back-of-house staff to reconcile gift and constituent information to conform with best practices.
- Organize and manage written correspondence for donations received by the development office (i.e., Renewal letters, acknowledgment letters to donors, end-of-the-year tax letters, funder recap reports, etc.).
- Oversee the creation and auditing of donor and mailing lists for the development team.
- Create development transactions and metrics reports.
- Reconcile all received revenue with the finance team.
- Keep all contact information up-to-date in the database and reconcile duplicates.
- Oversee the management of digital and hardcopy transactions filing.
- Serve as the Altru expert user for the Development team and work closely with the IT team.
- Sustain the integrity of the database through routine verification processes, enforcing best practices, and understanding of the importance of data within the system.
- Work closely with the Development leadership team on best practices for data input and extraction.
- Work with the museum’s IT team to develop and implement a regular continuing education program for relevant staff.
- Manage the generation of financial, analytical, and demographic reports, as well as mailing lists, invitation lists, recognition lists, and other data extractions as requested.
- Answer telephone calls addressing donor/member questions and concerns.
- Provide assistance for development duties as assigned.
Qualifications
Education/Work History: Associate’s degree preferred; a person with one to two years of administering databases within the non-profit space will be given preference.
Skills and Abilities:
- Ability to represent the Frist Art Museum in a professional way to donors, potential donors, and the public locally, regionally, and nationally.
- Excellent oral and written communication skills.
- Strong attention to detail.
- Ability to be a self-starter.
- Preference is given to Altru super users.
- Possess excellent interpersonal skills and be able to work well with and interact with a broad spectrum of personalities and diverse populations.
- Must have the ability to resolve conflicts and respond to inquiries in an appropriate and efficient manner.
- Support development department in special events, donor relations, and general duties as needed (potentially, some evenings and weekends).
