Job Summary

Faith Family Medical Center is seeking an accomplished individual to serve as its new Communications and Events Manager. Working closely with the Executive Director of Development, the Communications and Event Manager will be responsible for the successful planning and execution of communications projects related to branding, digital marketing, fundraising appeals, marketing materials, and events. The Communications and Events Manager must be able to anticipate project needs, discern work priorities, and meet deadlines. The ideal candidate should have a passion for special event management, provide outstanding communication to staff, vendors, event attendees and volunteers, be an enthusiastic professional, and be capable of building strong and positive relationships with donors, staff and partners including interacting with patients.

Job Responsibilities

Reporting directly to the Executive Director of Development, the Communications and Events Manager position is key to our success and requires a highly organized, creative, detail-oriented and motivated person to serve as lead for event planning, revenue generation, production and sponsorship.

  • This position deals with a wide range of responsibilities that include: event theme building, creating event programs, communicating with event attendees and corporate donors, marketing, contracting vendors, coordinating event logistics, timelines and tasks as necessary for event production. In addition, this position is responsible for writing copy, graphic design, and all other aspects of print creation and production of multiple annual solicitation letters, two newsletters, and the Annual Summary; the company website, and managing social media. FFMC operates under a collaborative model and often the Communication and Events Manager interacts daily with a range of members from the collective team.

Essential Duties and Responsibilities:

  • Serve as the lead for event planning, revenue generation, management, production, and sponsorship.
  • Create and manage the timeline, program, and task list for all FFMC hosted events.
  • Lead all event planning and production meetings and discussions.
  • Organize and lead collaboration with applicable internal teams on event concept, graphic design/production printing, and event marketing.
  • Negotiate costs and services with vendors: arrange food and beverage, order all supplies/decorations, coordinate audiovisual equipment and operation, and other arrangements as necessary.
  • Coordinate logistics for supplies, delivery, and staff travel to the event locations.
  • Secure volunteers; manage the staff and volunteers working at the event.
  • Work with Development team to secure guest speakers and entertainment; review speeches, create run of show, write scripts, etc.
  • Work with venue to create/revise room layouts/seating arrangements for each event as necessary.
  • Manage on-site production and clean up for events as necessary.
  • Create event sponsorship packages and manage sponsorship tracking
  • Design invitation suite and manage responses, registration, and attendee check-in processes.
  • Manage and follow-up with vendors, sponsors and staff members following each event.
  • Assist with preparing budgets and provide periodic progress reports to staff directors for each project event.
  • Keep track of event finances, invoicing, and reporting.
  • Research venue options, coordinate appointments and visits to see venue space and schedule events on the calendar.
  • Prepare and modify event contracts as requested.
  • Lead on social media platforms, creating posts and campaigns.
  • In charge of company website content and design.
  • Must be able to lift 20 pounds or more.
  • Light local travel required.
  • Acquire patient stories with help from clinical staff – contact, interview, and write for multiple purposes (marketing, grants, newsletters, appeals)
  • Direct Mail: Write and design multiple fundraising appeals, bi-annual newsletter, thank you letters.
  • Communicate regularly with print company, communicating the needs/specifications of each project clearly.
  • Design and order branded materials as needed (banners, tchotchkes, signage, etc.)
  • Maintain branding throughout office-use signage and lobby TV slideshow.
  • Assist Executive Staff Coordinator with quarterly Board Meeting as needed.
  • Create and manage social media and e-mail campaigns for Big Payback, Giving Tuesday, and others as needed.
  • Create a digital version of printed appeals in ConstantContact.
  • Design Annual Summary (retrieve data from necessary teammates, create infographics, share patient stories, etc.)

Qualifications

Required Knowledge, Skills, Abilities, and Other Characteristics:

  • Bachelor’s degree or equivalent work experience preferred.
  • Experience coordinating large special events (300 + guests).
  • Experience in writing and with graphic design.
  • Proven track record of generating revenue from events.
  • Experience with integrating social media into event planning and execution.
  • Excellent verbal and written communication skills.
  • Superior time management skills, multi-tasking abilities, team playing skills.
  • Budget management and negotiation skills.
  • Ability to accomplish projects independently.
  • Excellent interpersonal skills with a high level of professionalism.
  • Fantastic customer services ethics and high expectations for quality.
  • Experience with hiring and managing vendors for event production.
  • Software/program skills: Word, Excel, PowerPoint, Adobe Creative Cloud (Especially InDesign, Photoshop, and Acrobat), ConstantContact, Canva, WordPress, DonorPerfect (basic record management, online forms, event management)
