Job Summary

The Client Care Coordinator (CCC) will support the mission of Porter’s Call through hospitality and client-facing administrative tasks. The CCC is a full-time, exempt position and must be worked in the office located in downtown Franklin, TN. Reports to the Office Manager and the co-executive Directors/Porters.

Job Responsibilities

Hospitality

The office is where our mission of hospitality begins, and the CCC is often the first point of contact with our clients, whether in the office, over the phone, or via email. Offering a warm, kind tone in answer to a call or email is vital. All correspondence is expected to be returned promptly, courteously, and professionally as an essential part of maintaining hospitality and confidentiality. CCC will also assist with groups, workshops, and special events related to client care.

Administrative & scheduling

The CCC will serve as a connection point between clients and Porters. They will oversee and manage all client appointments and track statistics related to Porter’s counseling hours. Maintain and update all databases housing client information and statistics. The CCC will learn and be comfortable working in Google Workspace, Slack, AppToto, SimplePractice, Zoom, and Kindful.

Eligibility & intake

Our eligibility parameters help uphold our mission of serving the niche community of touring and performing recording artists. The CCC will become expertly familiar with client eligibility parameters to determine whether applicants for 1-on-1 support are eligible and then lead them through the prescribed intake and/or referral process. They will be responsible for becoming familiar with and maintaining the database of affiliate referral providers.
