Job Summary

FiftyForward has an excellent opportunity for an Administrative Services Manager.  This is a full-time position, 40 hours per week, Monday – Friday, with the availability to work flexible hours when needed (some mornings, evenings, and possible weekends).

In this role, you will provide executive level administrative support to the executive team and center leadership.  High-level responsibilities require a strong exercise of independent judgment, initiative, and will focus on multiple, large-scale, and complex initiatives, programs, and directives. In addition, this position provides day-to-day support to the CEO, manages the oversight of projects that fall between departments and/or organization leadership areas of responsibilities, provides data reporting and support and communicates information to external and internal customers. This position will function with a high degree of understanding of FiftyForward’s mission, processes, and procedures.

Job Responsibilities

  • Manage day-to-day administrative responsibilities for the CEO and other senior leadership staff including but not limited to calendar management, scheduling and coordinating meetings (virtual and in-person), phone calls, drafting documents, papers, and legislative communications.
  • Vet meeting and time requests and route to other departments as appropriate.
  • Provide administrative guidance and assistance to executive team and other administrative staff, drafting documents, papers, legislative communications, and other types of correspondence as appropriate.
  • Assist in implementation of programs to support key strategic initiatives furthering agency growth and profitability.
  • Coordinate Board of Directors and Board Committees meetings, develop meeting agendas, manage communications with board and committee members.
  • Edit and assemble board and committee meeting materials, including drafting, reviewing, and proofreading documents and distribute documents in hard copy and/or electronic format as requested.
  • Manage communication with legislative offices, monitor legislative updates, draft letters of support for agency appropriate initiatives, and coordinate candidate forums.
  • Maintain database to track and ensure state contract submissions.
  • Coordinate meetings with community groups, government entities, etc., overseeing event/room reservations and logistics.
  • Schedule and coordinate executive functions including meetings, events, logistics, attendees, materials, catering, and correspondence ensuring all information is handled appropriately and confidentially.
  • Research, prioritize, and follow up on incoming issues/concerns, including those of a sensitive and confidential nature, and determine appropriate course of action, referral, or response.
  • Manage agency purchases including supplies management, apparel procurement, invoices/payments processing for vendors.
  • Organize second floor common areas, front office, and mailroom.  Manage PHB mail on a daily basis.
  • Promote and uphold FiftyForward’s mission of supporting, championing, and enhancing life for those 50 and older.
  • Other duties as assigned.

  • Professional communication (verbal/written) and presentations skills.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Demonstrated skills in organizational management and leadership.
  • Proficient computer skills, MS Office 365 (Word, Excel, PowerPoint, Publisher, Outlook), Google Aps.
  • Proven ability to think critically and solve problems autonomously.
  • Proven ability to be flexible and work cooperatively with a wide range of staff, members, constituents, and stakeholders.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Strong organizational skills and ability to manage multiple projects simultaneously with proficiency, accuracy, and sensitivity to deadlines.
  • Proactive approach to problem-solving with strong decision-making capability.
  • Comfort working with Zoom and provide audio-visual support.
  • Open to constructive feedback, and creative dialogue with FiftyForward Management Team.

Qualifications:

  • Associate degree in business, communications, or related field.  Bachelor’s degree preferred.
  • 1 – 3 years’ experience working with older adults and volunteers.
  • 1-3 years’ experience using desktop and/or laptop computer, various databases, multi-user copier/scanner, and multi-line telecommunications system.
  • Experience working in a non-profit agency preferred.
  • Knowledge of Membership Works and MySeniorCenter is a plus.
  • CPR and ServSafe certified or willing to be trained.
  • Maintain knowledge of AED (defibrillator).
  • A valid TN driver’s license and appropriate automobile insurance.
