Job Summary

St. Luke’s Community House in West Nashville has an opening for a Front Office Coordinator, which is a temporary position. This position is directly responsible for the operations of the front office, which includes manning the front desk, accepting and receipting preschool tuition payments, working the food bank and signing clients up for various programs and activities. The start date will be May 24, 2021 and will last approximately 3 months.

Job Responsibilities

DUTIES AND RESPONSIBILITIES

¨ Fills food boxes for clients through the Second Harvest Food Bank program. Supervises food bank volunteers. Orders food and keeps an inventory of needed food bank supplies. Follows Second Harvest and St. Luke’s protocol for filling food boxes, including maintaining the database and keeping paper records of food boxes. Keeps the food bank neat and orderly. Manages and schedules volunteers as needed.

¨ Acts as a community resource, making referrals to other community agencies as needed. Tracks referrals as needed.

¨ Sets appointments for pick ups of donated items. Screens calls for suitability of items for Thrift Shop.

¨ Answers front desk telephone and directs calls appropriately. Screens visitors and directs to appropriate staff person.

¨ Enters data into the St. Luke’s client database.

¨ Is responsible for collecting child care fees, entering payments, maintaining database and printing weekly balance worksheet. Prints out tax information for parents at year’s end.

¨ Assists with the Toy Store/Adopt-A-Family Program, including signing clients in and checking their paperwork.

¨ Assists with the VITA program, including signing clients in, scheduling appointments and checking client’s paperwork to have taxes done.

¨ Recruits community members for the FRC Advisory Council.

¨ Assists staff as needed.

QUALIFICATIONS

¨ Knowledge of human service type programs and services.

¨ Excellent bookkeeping skills.

¨ Computer knowledge required.

¨ Organizational skills and ability to work independently.

¨ Take charge personality with the ability to get along with varied clientele, donors, staff and volunteers. Ability to seek out innovative ways of doing things.

¨ Excellent customer service and telephone skills.

¨ Ability to lift at least 20 pounds.

¨ Adaptability to changing demands, deadlines and priorities.

¨ A desire to serve the clients of St. Luke’s by working to meet their needs while demonstrating the St. Luke’s mission.

¨ Complete Food Handler’s Training as required by Second Harvest.

¨ Ability to speak or learn Spanish.

¨ St. Luke’s Community House is a drug free workplace. All employees will be required to submit to drug testing prior to employment.
