Position: Summer Programming Operations Coordinator, Migrant Education Program 

Conexión Américas seeks qualified candidates for the position of Summer Programming Operations Coordinator to develop, lead and coordinate Migrant Education Program Summer Programming services across the state of Tennessee. This person will plan and lead three summer day camps for migratory students grades K-12, a Youth Education Leadership Institute as well as the MEP Back-to-School Campaign (School Enrollment and School Supplies Distribution). 

Summary

This is a part time position, based in Nashville, Tennessee that will be directly supervised by the Associate Director of the Migrant Education Program. The Summer Programming Operations Coordinator provides leadership to ensuring the success of Summer Programming, which impacts around 550 migratory children. Summer programming includes three 5-10 day Summer Day camps (centered around literacy) in Dayton, Tennessee; Lafayette, Tennessee; and Morristown, Tennessee; and a 3-5 day overnight Leadership Institute (centered around college readiness and youth leadership) in Johnson City, Tennessee. 

During the months of February through May the Summer Programming Operations Coordinator will spend much of their time working from Nashville. Some travel to middle and East Tennessee; required. During the months of June through August, the Summer Programming Operations Coordinator will be expected to increase to a full time schedule, with on-site and overnight visits to camps throughout small towns and urban centers in East Tennessee.

Job Responsibilities

Program Delivery

  • Carry out and provide feedback to the development of a summer programming work plan
  • Work with the Service Team and Identification & Recruitment Team to maximize camp enrollment
  • Organize the logistical components of camp such as transportation, reservations, food service delivery, and special guests
  • Work with the Curriculum Development Manager and Service Team to develop camp program agendas
  • Create and apply assessments to evaluate the quality of the Summer Programming
  • Lead the organization of a Summer Programming training to teachers and staff 
  • Attend camps and provides direct support to summer camp programs including troubleshooting and problem solving

Development of Summer Programming curriculum 

  • Ensure that the developed curriculums are packaged in a user friendly manner that can be understood by teachers and facilitators 

Supervision and Budget Management

  • Interview, hire and Supervise Summer Programming Interns 
  • Lead the teacher hiring process including interviewing, hiring and onboarding
  • Create and manage Memorandum of Understanding (MOUs) with Summer Programming consultants, partners and vendors and ensure that vendors are paid in a timely manner
  • Regularly update the Communications team with information around Camps and Back-to-School Campaign

Materials, Supplies & Printing

  • Coordinate with Regional Service Managers to create purchase orders for Camps
  • Manage the organization, labelling, and distribution of camp and Back-to-School supplies throughout the state
  • Manage inventory of supplies before and after camps 
  • Manage the printing and distribution of all necessary materials for Camps

Safety and Risk Management

  • Ensure all MEP Summer programming standards and best practices are implemented and followed

Leadership

  • Chair the Summer Camp and Leadership Institute Committees
  • Regularly report to and work closely with the Associate Director in the implementation of these strategies
  • Provide regularly monthly reports on progress, as well as other reports as required to the Associate Director, Conexion Americas and at the State and Federal level

Qualifications

Qualifications (Education and Experience):

  • Bachelor’s degree, preferred; college seniors will also be considered
  • Minimum of two years of experience working in camp, afterschool, similar youth-related programs
  • Proven track record of professional event planning and organizing
  • Experience having attended a camp, living and loving camp culture first hand, preferred 
  • Consistently self-driven and goal-oriented with the ability to set effective team and individual goals and take ownership for results
  • Strong analytical and critical-thinking skills with the ability to identify and leverage relevant data to use in planning and decision-making
  • Ability to understand, adapt to and interact with diverse people, teams, perspectives and cultures
  • Proficient in using email, internet, and other PC-based applications with the ability to learn and adapt to new technology
  • Must be able to work flexible hours including evenings, weekends, and holidays as needed
  • Must be able to stay overnight at camps during some days of June, July and August
  • Experience managing people, including remote staff
  • Written and oral communication in English, required
  • Flexibility, creativity and imagination, required
  • Ability to work independently, manage multiple tasks and work in a fast-paced environment with deadlines and strict timelines, required
  • Demonstrated appreciation for Latino culture and families, as well as other immigrant and refugee groups, preferred 
  • Will need to complete a background check
