Job Summary

Under the direction of the Chief Development Officer (CDO), the Development Coordinator is responsible for facilitating the successful implementation of fundraising activities within the Development Department of Adventure Science Center.  Understanding a moves management strategy and mastery of a donor database are critical skills for this position.  In addition, the Development Coordinator is responsible for correspondence, scheduling, prospect identification, donor and sponsor solicitation, meeting preparation, donor stewardship, and administrative tasks for the department.

Job Responsibilities

Essential Functions

Development & Events

  • Prepare and submit funding proposals and/or letters of inquiry as directed by CDO
  • Research potential funders/donors and produce Prospect Profiles as directed by CDO
  • Prepare sponsorship proposals and solicit corporate organizations for sponsorship
  • Provide campaign support for CDO, CEO, and volunteers as directed
  • Maintain and update major gift prospect/donor records, ensuring profiles are current and accurate
  • Maintain contact reports and record of research findings in donor database
  • Ensure gift entry and acknowledgment is completed, produce donor information reports, weekly updates of donor information in donor categories, and statistical information as needed
  • Assist CDO with the annual signature fundraising event (October), providing support as directed
  • Assist CDO with donor appeals
  • In coordination with Events & Public Programs Manager, plan and execute stewardship events and donor receptions
  • Manage the overall integrity of donor data with sensitivity to confidentiality

Administrative

  • Maintain the development calendar to ensure deadlines are met for funding submissions and appeals
  • Maintain the organizational grant calendar to ensure deadlines are met for submissions
  • Be the point person for inquiries by major gift donors and prospects
  • Schedule and coordinate meetings with board members, corporate sponsors, and donors
  • Produce analytical reports in a timely manner, (e.g. monthly individual, corporation, and organizational giving)
  • Produce pledge reminders and invoices in a timely manner
  • Track and reconcile revenue and expenses to budget
  • Organize and maintain digital file system

  • Enthusiasm and appreciation for the value of museums, informal science education, and the vital role of philanthropy to a non-profit institution
  • Professional appearance and demeanor

Qualifications

Qualifications

  • Education:  Bachelor’s Degree or equivalent experience in a related field is required
  • Experience:  Requires minimum of 3-4 years in fundraising, business, marketing, or project management
  • Donor database or similar CRM software knowledge is required.  Raiser’s Edge or Altru knowledge preferred.
  • Excellent verbal and written communication skills, including superior composition, typing, and proofreading skills
  • Ability to work events at various hours, including evenings and weekends is required
