Job Summary

Old Hickory United Methodist Church is a congregation of about 60 members serving the charming historic Old Hickory Village. Our Office Manager will assist church leadership in the administration of church finances and communications.  Office duties include phone and mail management, record keeping and reporting, word processing with basic graphic design, and vendor interface. Financial duties include processing of incoming and outgoing financial transactions, producing finance reports, and serving on the Finance Team. The work schedule is flexible.

Job Responsibilities

  • Serve as Office Manager / Secretary:
    • ​​​​​​​Manage church office: greet visitors; answer telephones, check voice mail and deliver messages; retrieve, sort and distribute mail; maintain record-keeping systems; order office and kitchen supplies; interface with vendors and contractors
    • Prepare weekly worship bulletin and newsletter (print) in consultation with church leadership
    • Process and record congregational data such as membership, contact information, and attendance using Church Management system (currently Power Church)
    • Assist church leadership with communication tasks (mailings, automated phone messaging, online account updates)
    • Maintain church calendar in collaboration with church leadership
  • Serve as church’s Financial Secretary:
    • Work closely with church leadership on day-to-day financial tasks of the church, including supervision of volunteers who count weekly offerings
    • Process and record donations, bills, payment requests, and disbursements using Church Management system (currently Power Church)
    • Produce monthly and annual Finance reports and review them with Treasurer
    • Participate in occasional Finance Team meetings
    • Provide support to congregation members regarding their giving records, including preparation and mailing of quarterly and annual statements
  • Other duties as assigned

Qualifications

  • Strong computer competency (Microsoft Office and database management required; website and/or social media management a plus)
  • Excellent oral and written communication skills
  • Basic accounting skills
  • Outstanding customer service skills grounded in respect and care for all people
  • Commitment to confidentiality
  • Ability to organize work with minimal supervision
  • Adaptability
