Job Summary

Position Title: Executive Director
Immediate Supervisor: Kymari House Board of Directors

Qualifications: Master’s degree in a human services related field or five years related experience and/or training; or equivalent combination of education and experience required. Social work licensure to include LCSW, LAPSW, or LMSW receiving supervision is preferred.

Summary of Primary Job Functions
This position is responsible for establishing and executing major goals and objectives for the organization. Implements policies established by the board of directors; provides leadership, direction and guidance of organization’s activities; analyzes and evaluates the effectiveness of all organization operations in collaboration with the board; develops and maintains organizational structure and effective personnel; coordinates major activities through subordinates and evaluates assigned personnel; Represents the organization to regulatory bodies, other agencies, community and civic organizations, donors, funders and supporters and the general public.

Job Responsibilities

Essential Job Responsibilities:

General

  • Acts as the spokesperson for organization
  • Executes board-approved policies
  • Implements short and long term strategic plans
  • Attends board meetings
  • Maintains a competent and effective administrative and program staff
  • Provides leadership to organization personnel through effective objective setting, delegation, and communication
  • Coordinates and directs employees
  • Formulates and implements corrective action as needed
  • Provides clinical oversight where appropriate

Administration

  •  Ensures administrative staff remains current to organization business and Board directives/approvals that affect their functions and areas of responsibility
  • Works with the Board of Directors on governance policy issues by providing support and by initiating approved recommendations or actions
  • Ensures compliance to minimum standards in accordance with all government legislation, regulations and guidelines pertinent to the organization’s role as an employer and non-profit agency
  • Recommends to the Board changes to policies and procedures that would improve the organization
  • Maintains an effective and cost efficient office environment
  • Determines staff training and/or equipment needs of employees, taking into account annual budget allocations
  • Submits all information, reports and records as requested or required by law to appropriate government officials
    or the board of directors
  • Develops and implements operational plans, policies, and goals that further strategic objectives

Financial

  • Maintains full awareness of the complete financial, statistical, and accounting records of the organization
  • Ensures that operating results established in the annual budget are achieved and the control of operating expenses within budget
  • Ensures the accuracy, integrity, and timeliness of all financial accounting and reporting
  • Ensures the preparation of the annual budget for board approval
  • Writes grants and coordinates all fundraising events

Qualifications

Job Duties:
Specific duties related to the responsibilities above include:

Grant Writing:
Write, research, submit, and track all grant applications (includes keeping statistics and completing required reports) and billing when needed to receive reimbursement

Financial Management:

  • Maintain/oversee bank accounts including making deposits and disbursements (bills)
  • Prepare annual budget and track monthly
  • Review monthly timesheets for hourly employees
  • Prepare financial data for bookkeeper and review all financial data monthly (bookkeeper prepares payroll checks)
  • Bill for reimbursement of grants funds
    *part-time bookkeeper does Quick Books work and runs needed reports

Supervised Visitation

  • Oversee part-time program coordinator (program coordinator will provide direct service as a weekend supervisor, do intakes, schedule visits, and schedule monitor time)
  • Provide clinical oversight to SV cases
  • Provide court testimony if required

Building Responsibilities

  • Ensure that the facility equipment maintenance/repair, and yard are maintained

Board Work

  • Serve as primary liaison with board of directors
  • Drive strategic planning and agency development, with board
  • Develops and implements policies and procedures

Fundraising

  • Oversee part-time employee (or contract consultant). The fundraiser will plan, execute, and publicize all special events and fundraising projects

Social Media and Friend Raising

  • Ensure both Facebook page and website are active and updated (could have volunteers to this work)
  • Attend community meetings related to grants and prospective funders and issues of interest to Kymari House
  • Develop process that ensures that donors are thanked for mo9netary and in-kind donations
