Job Summary
To provide data and administrative support for Oasis Center, with a specific focus on Crisis to Housing programs and two AAE funded programs. This role includes a primary responsibility for data entry and ensuring program data quality. In addition, this position provides support with ongoing management of Oasis Center’s internal database, FileMaker Pro.
Job Responsibilities
- Maintain and track accurate, consistent, and timely electronic and paper records, including relevant records to meet funding and licensing requirements.
- Establish data quality standards and work with staff to ensure standards are met.
- Assist in data analysis efforts, including helping staff pull data for internal and external reports.
- Stay abreast of FileMaker Pro updates and enhancements and support IT personnel as needed in implementing relevant software upgrades.
- Report and troubleshoot data submission errors and data error issues.
- Provide feedback on data collection and evaluation methodologies, including format design, project criteria, and requirements, data compilation, relevancy and usage.
- Perform data preparation procedures including data cleaning, standardization, and analysis.
- Assist with the migration of data of needed and monitor progress.
- Input participant enrollment, program data, and group data into multiple databases- FileMaker Pro and TN-Wits. (weekly).
- Resolve discrepancies in information and obtain further information for incomplete documents.
- Ensure program data is entered accurately and timely into HMIS (Homeless Information Management System) and other grant-mandated databases, as assigned.
- Query HMIS and other databases to monitor program data quality, working with program leadership to resolve problem areas.
- Work with agency HMIS Point of Contact (POC) to implement all local standards, policies, and procedures.
Qualifications
- Proficient in the use of Microsoft Office, especially Microsoft Excel.
- Experience with cloud base services such as Microsoft 365 and Drobox.
- Proficient in or ability to gain proficiency in FileMaker Pro.
- Experience with database development and/or database management.
- Strong data analysis competencies.
- Ability to use logic and to think independently and systematically about data processes.
- Ability to give and receive feedback within a team.
- Ability to multitask and bring order to a variety of processes.
- Ability to effectively set and management multiple priorities and use time constructively.
- Ability and desire to learn on the job.
- Bachelor’s degree or equivalent.
- Two-year relevant experience.
