Job Summary

The Family Center – a growing, fast paced nonprofit serving families across the state through offices in Davidson and Rutherford Counties – seeks a dynamic new “family member” to coordinate and carry out oversight of its databases (DonorPerfect, Salesforce, Classy) and internal dashboards (Excel, PowerPoint). Qualified candidates must have a willingness to embrace a Trauma Informed Culture that honors all races, religions, cultures, sexual orientations, and gender identities.

Job Responsibilities

Essential Duties & Responsibiliies

  • Development
    • DonorPerfect Database
      • database configuration and management, continuous updating of processes and procedures
      • data entry, gift processing, and donor/gift acknowledgment
      • regular reporting and list generation
      • contact information compilation and maintenance
      • updating and automating of processes required
      • direct mail/other mailings – pull data/mail merges/etc for  multiple donor mailings (appeals, invitations, list clean up, tracking, and reporting)
    • Grant Reporting
      • ensure timely provision of statistics for grant writing and reporting purposes
      • assist with annual report statistics and deadline-based reporting
    • Donor Support
      • oversee processing of all recurring donor payments and all other gifts
      • oversee pledge reporting and collections
      • provide support for assigned tasks relating to fund development, grants, and marketing efforts
  • Program 
    • Salesforce Database
      • database processes and procedures for data entry and reporting
      • oversees data collection and entry from TFC staff, interns, volunteers, etc.
      • contact information compilation and ongoing maintenance
    • Database Reporting
      • monthly, quarterly, annual reporting to fulfill government grants and foundations
      • other reports as needed in a timely and efficient basis
  • Dashboards
    • regularly update organizational dashboards to ensure targeted goal attainment
    • work with staff to obtain data necessary for dashboard updating on a monthly basis
    • work with CEO to ensure dashboards are ready for external communication
  • Data to Budget Reconciliation
      • assist  with monthly reconciliation between DonorPerfect and finance accounting system
      • prepare and send data for annual audit and 990 preparation
  • Online or Special Events
    • oversee event management databases (auction, registration, ticket sales, acknowledgments, communications, collections)
      • configuration, management, processes, procedures
      • data entry and reporting
      • contact information compilation and maintenance
      • staff and volunteer training (to ensure “event-specific” success)
    • provide technical support for event, working with AV vendors and staff on needs
  • Other Duties as Required or Assigned

Qualifications

Required Capabilities, Skills, & Knowledge:

  • Bachelor’s degree or equivalent work experience
  • proficiency in Microsoft Office/365, Salesforce, and DonorPerfect (or similar systems)
  • a focus on accuracy
  • 3 to 5 years of experience and proven competency in data entry and database use/management
  • customer and donor focus with excellent interpersonal and communication skills inclusive of diverse populations and personalities
  • mature, responsible, driven, and able to work independently with minimal supervision and on a team
  • excellent organization and project management skills
  • nonprofit experience preferred but not required
  • openness to a work culture that is very fast paced and growing rapidly across Middle Tennessee
  • willingness to herd cats to meet deadlines
  • must have reliable transportation and a valid driver’s license
