Job Summary
The Membership Services Associate shall be responsible for the preparation and maintenance of membership records, data entry, placing orders, typing letters and other related duties, as well as provide timely analytical information and coherent advice with a proven ability to work and respond under pressure. The successful Membership Associate will strike a balance by combining their technical skills with their communication skills to build and maintain a great membership and church database. Each of these duties are used to provide world class customer service to our members and non-members.
Job Responsibilities
Customer Service
- Answer phone requests for needed information in a timely manner, preferably by close of business each day. Members are always first, paperwork second.
- Respond to emails in a timely manner
- Assist in helping members navigate and use the theConnection when applicable.
- Process merchandise and Scripture orders for members
- Process dues payments during membership renewal season
- Practice security compliance with credit card and ACH payments
- Answer policy questions for members and officers
Database Maintenance (netForum)
- Enter Applications (USA)
- Provide maintenance items such as address correction, camp transfers, remove resigned, unpaid and deceased Members
- Remove duplicates where observed
- Set up New USA Camps in netForum
- Set Up New USA Committees in netForum
- Dissolve and Reorganize Camps
- Update Camp Officers and State Officers
- List and Label Requests for USA & Outreach
- Enter and Purge Camp Training Leaders
- Maintain Membership Department records by recording information from source documents to established files
- Perform a combination of routine duties, such as data entry, filing, posting, checking, and copying.
- Research membership information, as required
- Efficiently answer telephone and emails to secure routine information
- Work closely with other functional teams to resolve any membership issues
- Perform related and unrelated duties as required
- Responsible to Membership Team Lead for accuracy and completeness for updating membership records and keeping up with workload. Responsible for uninterrupted processing and completion of tasks.
Correspondence
- Assist in preparation of letters – Correspondence declines, resigns, Life Members, Veterans
- Conduct inventory of membership material
- Foster relationships with vendors
- Participate as a member of internal working groups or committees
- Create and update standard operating procedures
- Assist with training new/current team members
- Process inter-office merchandise orders
Pastor calls
- Obtain Pastor’s recommendation and verification of Gideon Applicants church membership
- Maintain orderly process (due to callbacks) of all pending applications
- Use various methods of obtaining incorrect pastor data including Internet and update database records
Qualifications
2 year Associate’s degree or equivalent experience
2-5 years of secretarial/Administrative experience
PC experience, especially in Microsoft Office applications
Successful completion of a background screen
