Job Summary
This position is primarily responsible for managing a variety of general Chapter office activities by performing the following duties.
Job Responsibilities
Core duties and responsibilities include the following. Other duties may be assigned.
- Process donations, including bank deposits, data input, reports, donor acknowledgements and tribute gift correspondence.
- Analyze and organize office operations and procedures such as information management, filing systems, requisition of supplies and other clerical services.
- Assist in maintaining Chapter’s database programs and systems – Convio and DonorPro – including data input, queries and preparing reports as required. Serve as lead for Association-wide database transition to Salesforce and website migration in early 2022.
- Process incoming/outgoing mail, monitor postage meter and ship packages as needed.
- Monitor and order general office supplies and letterhead.
- Assist in coordinating Chapter volunteers and support Chapter development events.
- Coordinate with vendors to ensure ongoing operations including telephones, internet, computers and copier.
- Provide logistical support to Care Services, Development and Administrative teams.
- Provide support to all personnel and assist in response to telephone/email inquiries.
- Provide administrative support to the Chapter by answering phones, maintaining calendar, scheduling meetings, and recording minutes of meetings as required or requested.
- Manage Chapter’s social media platforms, including Facebook, Twitter, Instagram, LinkedIn and Hootsuite.
- Other duties as assigned.
Qualifications
Qualifications:
- Proficiency with Donor Pro, Convio Luminate Online and Salesforce preferred.
- Proficiency with social media platforms (Facebook, Twitter, Instagram, and Hootsuite) required.
- Familiarity with InDesign and Canva preferred.
- Ability to work cross-functionally with Chapter staff, Board of Directors, high level volunteers and donors.
- Commitment to organization, attention to detail, highly efficient and conscientious about thorough follow-up.
- Basic knowledge of donor services, tax receipt and acknowledgment production and process.
- Skilled communicator with superior interpersonal, verbal and written skills.
- Able to handle important information and maintain a high level of confidentiality.
- Ability to work under and comply with continuous and multiple deadlines and evolving priorities. Manage multiple projects simultaneously.
- Excellent organizational and writing skills as well as diligent attention to detail.
- Must be available to work occasional evenings/weekends to attend special events and support the event staff.
- Qualified candidates must have the ability to successfully pass a background check.
Required Education and/or Experience:
- Bachelor’s degree from four-year college or university.
- Experience working in a nonprofit environment preferred.
- Proficiency in Microsoft Office software.
