Job Summary

Responsible for maintaining complete and systematic records of the Council’s computerized general ledger system, providing needed reports at regular intervals, and processing all cash disbursements and receipts. Responsible for maintaining the chart of accounts, all journal entries, payroll, inventories, and the end of the year closing.

Job Responsibilities

    Maintains Council chart of accounts; collaborates with Chief Operating Officer to train staff in use of chart of accounts and procedures for requesting payment.
    Reviews and prepares general ledger journal entries; records transactions affecting corporate assets and liabilities in appropriate funds.
    Reconciles monthly bank statements and balance sheet accounts.
    Prepares state sales tax returns.
    Acts as primary accounting resource for all Council departments. 
    Prepares bank deposits. 
    Reviews, corrects, and records all cash receipts. 
    Reviews all check requests and invoices for proper account coding, documentation, and authorization; prepares checks using computerized check writing software. 
    Prepares monthly financial close, Operating Profit and Loss and Balance Sheet, and other special reports as required.
    Prepares and generates payroll. 
    Partners with COO to ensure accurate processing and timely payment of benefits invoices.
    Maintains confidential files including information for payroll and employee benefits.
    Reviews monthly reports generated by Girl Scout Shop staff; posts associated entries to general ledger. 
    Prepares all required documentation for annual audit and assists auditors with any questions during the audit. Reviews and posts all auditors' adjusting journal entries.
    Exercises tact and diplomacy in dealing with the public; actively supports and promotes all efforts to increase cooperation, work integration, communication and collaboration between and among staff members, volunteers and girls.
    Models behavior consistent with the purpose, values, and mission of Girl Scouts of the USA and the Girl Scouts of Middle TN.
    Other tasks and duties as assigned by management.
 

Qualifications

    Bachelors degree in Accounting preferred, related work experience may be substituted for degree.
    Minimum of five years’ experience in bookkeeping. 
    Three to five years’ experience in fund accounting preferred. 
    Accounting software experience, Blackbaud preferred.

Knowledge, Skills and Abilities Required:
    Strong organizational skills.
    Able to meet strict deadlines.
    Able to maintain absolute confidentiality and discretion with highly privileged information regarding Council finances, volunteer, and employee personal information.
    Attention to detail.
    Able to perform duties accurately and thoroughly.
    Able to use good judgment and make sound decisions that are based on fiscal responsibility.
    Proficient in Microsoft Office products. 
    Able to communicate effectively, exercising tact and good judgment when relating to staff, volunteers, outside consultants, and auditors. 
    Must successfully complete a criminal and credit background check. 

Physical Working Conditions:
While performing the duties of this job, the employee may sit or stand for prolonged periods of time. The employee may lift, carry or otherwise move and position objects weighing up to 50 pounds.
