Job Summary

The Administrative Assistant in this fast-paced, team environment supports the scheduling and administrative needs of the Education and Curatorial team.  Responsibilities require advanced level of MS Office (Outlook, Excel, PowerPoint, and Word), internet research skills, and writing skills for the development of reports and presentations.  In addition, the ability to manage multiple tasks in a fast-paced changing environment, and a willingness to engage in periodic evening/weekend activities will be important. This position can be up to 40% remote.

About NMAAM – NMAAM is the only museum dedicated to preserving the legacy and celebrating the accomplishments of the many music genres created, influenced, or inspired by African Americans. The Museum will share the story of the American Soundtrack, integrating history and interactive technology to bring the musical heroes of the past into the present.

Job Responsibilities

Essential Duties & Responsibilities:

  • Provide administrative and logistical support to the Education and Curatorial leadership.  This will include the daily management of all appointments, phone calls, events, and other communications.

  • Produce and distribute correspondence memos and letters. Maintain contact lists and assists with communications to constituent groups

  • Maintains purchase order and invoice process with AP in Finance; submits and tracks POs from all vendors and contractors.

  • Manage travel arrangements for Education and Curatorial staff.

  • Maintain all office filing and administrative records, along with vendor coordination as may be needed.

  • Assist in the planning and implementation of special events.

  • Participates in meetings or events as needed.

Qualifications

Experience and Education:

  • Three plus years of administrative support, preferably in a corporate office environment.
  • BA/BS preferred
  • Strong understanding of nonprofit organizations and familiarity with community issues.
  • Strong written and verbal communication skills
  • Attention to detail
  • Superior organizational and time management skills

  • Experience in handling confidential information and maintaining confidentiality of sensitive information.

All Staff Duties:

  • Serves as leader to assure strong communications between NMAAM and all external constituents.
  • Actively seeks to learn the history of NMAAM.
  • Supports and promotes the museum’s mission.
  • Assist in the planning and implementation of special events.
  • Attend staff meetings.
  • Performs other duties as assigned.
