Nashville Rescue Mission is actively seeking a Senior Administrative Manager to join our team. Are you the right person?

The Senior Administrative Manager serves as principal administrative support person that empowers the President/CEO and other senior leadership. The primary role of this position is to support the President/CEO and senior leaders by performing a variety of tasks ranging from routine to complex administrative, clerical and office duties including oral and written communications, business contacts, calendar, meetings, travel and special projects. Receives general direction from the President/CEO and interacts with Senior Leadership Team, directors and members of staff as well as Mission Board members. Given the changing nature of the executive landscape, this position requires flexibility and foresight, while maintaining confidences related to high-level systems and operations. Must have a sincere interest in the values and ministry of Nashville Rescue Mission and must value attention to detail.

Job Responsibilities

 

  1. Represents the President/CEO of Nashville Rescue Mission in a professional and congenial manner in person, in telephone conversations, and in written correspondence.
  2. Provides tactical leadership for executive-level projects involving the President/CEO.
  3. Collaborates with internal and external stakeholders on projects and manages project administration and timelines.
  4. Drafts project communications and review summaries to the President/CEO.
  5. Coordinates, assembles and compiles information and documents related to the strategic planning process.
  6. Responsible for maintaining positive and collaborative working relationships with Mission internal and external partners.
  7. Coordinates all Board of Directors and committee meeting activity to include taking minutes, as directed by the President/CEO.
  8. Receives the President/CEO telephone calls and correspondence (including emails) and responds, directs, or flags them as appropriate. Responds to routine questions and requests and refers higher level managerial requests to the President/CEO and/or directors, as appropriate.
  9. Manages the CEO’s extensive calendar, sorting and filtering requests for the President/CEO’s time while ensuring strategic priorities are met in a timely manner.
  10. Coordinates the logistical arrangements for conference calls and meetings.
  11. Creates and modifies documents and presentations for internal and external use by the President/CEO.
  12. Creates and maintains files and records for historical and informational reference.
  13. Drafts letters in response to routine enquiries concerning President/CEO participation in external events, and other letters as appropriate.
  14. Performs special projects as directed by the President/CEO.
  15. Maintains professionalism and strict confidentiality with all materials and exercises discretion when interfacing with others.
  16. Takes minutes at staff meetings.
  17. Prepares expense reports and reimbursement forms for the President/CEO.
  18. Performs general clerical duties to include but not limited to, copying, faxing, mailing and filing as well as other duties assigned.

Other Duties:

  1. Any other duties as may be assigned by the supervisor.

Qualifications

  1. Bachelor’s degree required.
  2. Five or more years of Administrative/Executive Assistant or Project Management experience desired, prefer Executive level.
  3. Excellent skills in all Microsoft and Office Suite programs (Word, Excel, Power Point, Desktop Publishing).
  4. Minimum typing speed of 50 wpm.
  5. Experience in basic office management and organization.
  6. Able to work in fast paced environment.
  7. Self-starter and independent worker while maintaining a team approach to challenges.
  8. Ability to communicate effectively and clearly both verbally and in writing.
  9. Flexibility to complete non-routine assignment.
  10. Multi-tasking ability.
  11. High degree of professional independence, initiative and self-discipline.
  12. Excellent public and interpersonal relations skills.
  13. Excellent project management and organizational skills.
  14. Past experience with a nonprofit organization a plus.
  15. Ability to drive, possesses a valid drivers license and reliable personal transportation

 

Physical Factors:

The work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices, meeting and training rooms; use of safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations.

The work environment will require driving, walking, standing, bending and carrying of items weighing up to 25 pounds. Also, the employee must have manual dexterity, visual and auditory acuity. Some repetitive motion is involved.

RETIREMENT
