Job Summary

The Public Programs Coordinator helps develop and then facilitates public program offerings of Andrew Jackson’s Hermitage. The position works under the supervision of the Chief of Museum Operations. Programs are an essential part of the Foundation’s efforts to meet its mission to “create learning opportunities and to inspire citizenship” and to increase awareness of The Hermitage.

Job Responsibilities

  • Coordinate program logistics and provide event support for public programs, workshops, lectures, festivals, etc.
    • Coordinate resources across departments
    • Schedule spaces and confirming set-up details
    • Procure and prepare supplies, speakers, reenactors, venders, etc.
    • Manage AV needs and setup
    • Create and process program registrations
    • Produce program-related documents (internal event forms, event maps, contracts, purchase orders)
    • Make catering arrangements
  • Participate in monthly programs meeting, offering creative ideas for new and existing programs, with a particular focus on expanding our audiences by diversifying our program opportunities.
  • Work with Marketing staff to develop content and plans for advertisements, press coverage, web and social media content and other promotional materials in a timely manner.
  • Provide supporting information, as requested, to Development staff for writing and administering funding proposals and grants related to Public Programs.
  • Maintain timely and accurate program statistics. Prepare reports as needed.
  • Collect and administer surveys to track visitor engagement and satisfaction.
  • Track individual program budgets and monitor Public Programs department budget.
  • Professionally and courteously handle inquiries via telephone, email and in person.
  • Perform other duties as assigned.

Qualifications

Education/Training: BA in history, education or related field required. 

Experience, Skills and Abilities Requirements: Must have two years’ previous experience in museum public programs, preferably at a historic site; able to interact with all ages, nationalities and those who are physically challenged; demonstrate teamwork, good interpersonal and team skills; present a professional demeanor and maintain confidentiality; possess good organizational, prioritization skills; computer and general office equipment knowledge. Must be able to work evening and weekend programs.

Physical Requirements: Must be able to interact with the general public of all ages; ability to perform light physical work, exerting up to 20 pounds of force unassisted, bend, stoop, climb and stand for long periods of time; perform such activities as grasping, lifting and repetitive tasks.
