Development Administrative Assistant
Position: Development Administrative Assistant, Full-Time
Department: Development
Supervisor: Development Operations Manager
Description: This position provides administrative support for the Chief Development Officer and the Development Department. Qualified candidates will possess strong communication and organizational skills and a customer service mindset.
Physical Requirements:
Must be able to work outside and in a typical office setting as necessary. Must be able to stand, sit, or walk for extended periods of time. Must be able to lift and carry up to 25 pounds.
Background Check:
Applicants for this position are required to submit to a criminal background check and pass a drug test.
Job Responsibilities
Duties and Responsibilities:
- Support CDO with various tasks such as arranging meetings and tours, maintaining calendar and contacts, producing expense reports, and typing weekly activity report
- Accurately maintain donor and sponsor records in Donor Perfect database
- Prepare gift acknowledgements and other correspondence
- Coordinate tribute gift programs
- Manage invoicing and benefits fulfillment for sponsors
- Create reports, presentations, and other materials as requested
- Complete purchase requests for department expenses and order office supplies
- Conduct private tours as needed for donors, sponsors, and prospects
- Provide administrative support for Development Committee
- Perform other duties as assigned in support of the Zoo, to include assisting with other fundraising projects, programs, and events
Qualifications
Skills/Qualifications:
- Proficiency with Microsoft Office applications
- Strong organizational and time management skills
- Capacity to balance multiple projects while maintaining exceptional attention to detail
- Excellent written and oral communication skills
- Discretion in dealing with confidential and personal information
- Ability to provide outstanding guest service
- Flexibility to occasionally work evenings, weekends, and holidays
- Positive attitude and cooperative nature to build and maintain relationships with Zoo team members and supporters
Experience & Education:
- Bachelor’s degree or Associate’s degree
- Experience in development, administration, or related field
