Job Summary

Position Summary:

The Program & Referrals Coordinator plays a key role in advancing United Way of Greater Nashville’s mission by supporting and expanding the SNAP E&T program across Tennessee. This position is responsible for strengthening program infrastructure, providing guidance and support to subcontractors, and assisting with strategic program growth. The coordinator ensures compliance with federal and state reporting requirements, oversees accurate data management within the mandated case management system, and helps drive successful outcomes for participants statewide.

Job Responsibilities

Primary Duties & Responsibilities: 

Case Management Oversight

  • Monitor and maintain compliance of all case management records within the Jobs4TN system.
  • Conduct regular reviews of case notes submitted by subcontractors to ensure accuracy, detail, and alignment with program requirements.
  • Ensure timely and accurate data entry and reporting within the case management system, adhering to federal and state mandates.

Compliance and Program Integrity

  • Stay informed of all SNAP E&T policy and procedural updates to ensure program integrity.
  • Ensure subcontractors are fully compliant with all SNAP E&T grant requirements, including fiscal and programmatic expectations.
  • Collaborate with the Associate Director and Regional Managers to ensure statewide adherence to grant terms and conditions.

Training and Technical Assistance

  • Provide ongoing technical assistance and training to subcontractors, including orientation for new providers.
  • Support newly established subcontractors in understanding and using the Jobs4TN system effectively.
  • Work collaboratively across departments to ensure subcontractors have the resources and knowledge needed for successful implementation.

 

Reporting and Documentation

  • Review and submit monthly program reports, ensuring accuracy and timeliness.
  • Develop and maintain internal systems for tracking participant referrals and program performance metrics.

Referral Management and Outreach

  • Track and manage participant referrals to UWGN’s Financial Empowerment Center (FEC) and VITA free tax services.
  • Coordinate scheduling of FEC appointments and consultations as appropriate.
  • Collaborate in the development of referral tools and forms to support efficient outreach.
  • Distribute program marketing and communication materials to SNAP E&T participants to increase engagement with UWGN services.

Stakeholder Communication and Collaboration

  • Maintain professional and timely communication with subcontractors, state agency partners (TDHS, TDLWD), and internal stakeholders.
  • Collaborate with Associate Director and Regional Managers to support SNAP E&T interest meetings and outreach efforts with potential and current subcontractors.
  • Work independently and collaboratively to ensure a coordinated approach to program delivery across regions.

Additional Duties

  • Perform other duties as assigned to support the overall success of the SNAP E&T program and UWGN’s mission.

 

Qualifications

Education:

Required: High School Diploma or HISET equivalent

Preferred: Bachelor’s degree or equivalent experience

Qualifications:

  • Education or experience with grant management
  • Excellent organization skills and attention to detail 
  • Excellent written and verbal communication and customer service skills, including presentation/public speaking ability and desire 
  • Case management experience (SNAP E&T preferred)
  • Working with and engaging nonprofit organizations
  • Knowledge of grant implementation
  • Proficiency with Microsoft Office products, especially Outlook, Word, and Excel
  • Ability to work with diverse constituency and relate to individuals and groups in a manner that will inspire respect and confidence 
  • Strong interpersonal skills and ability to work with diverse groups of people 
  • Ability to perform with minimal supervision 
  • Ability to withstand stress and handle numerous assignments simultaneously 
  • Ability to prioritize work and manage time effectively to meet deadlines 
  • Valid driver’s license.

 

Physical Demands:  Visual acuity, manual dexterity, hearing, driving, standing, walking, sitting, stooping, bending, lifting, and carrying 50 pounds.  Reasonable accommodations may be made to enable individuals with disabilities to perform their essential duties. 

 

 

Working Conditions: 

 

  • Minimum of 37.5 hours per week. Based on campaign schedules, position often requires work beyond traditional hours 
  • Flexible schedule required during special projects and events  
  • Work involves frequent interaction with other members of the United Way staff, volunteers, representatives of non-profit agencies and the general public 
  • Occasional use of personal vehicle (mileage will be reimbursed) 
  • The employee is required to stand, walk, climb, and balance.
  • Manual dexterity sufficient to reach/handle items and work with the fingers and perform repetitive hand/wrist motions. 
  • Well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
