JOB SUMMARY

The Individual Placement & Supports (IPS) Coordinator will enhance the waitlist process in the electronic health records (EHR) system. This position will manage the program waitlist that effectively requires clear communication, organization, and fairness to ensure referrals have a smooth experience during this timeframe. The position will also ensure the effectiveness of documentation, tracking, growth, expansion of the employment department, and high-quality service to our members.

 

WORKING CONDITIONS

This job operates in a professional office environment with remote office flexibility.  This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

 

PHYSICAL DEMANDS

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to fingers, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch; talk or hear.  The employee must occasionally life or move up to 10 pounds.  Visual ability to detect errors.

Monday-Friday 7:30 am-3:30 pm, 8:00 am- 4:00 pm or 8:30 am- 4:30 pm

Job Responsibilities

ESSENTIAL FUNCTIONS

  1. Value cultural competence and diversity

    2. Take deliberate steps to increase cultural competency by attending training, events, discussions, workshops, etc.
  2. Waitlist Management
    1. Monitor and update the waitlist for services, ensuring timely and accurate data entry.
  3. Referral Coordination
    1. Assist in processing and tracking referrals, ensuring members relate to appropriate services.
  4. Communication
    1. Serve as a point of contact between members, staff, and external partners to facilitate smooth operations.
  5. Data Analysis
    1. Analyze data related to waitlist to identify trends and areas for improvement.
  6. Administrative Support
    1. Assist the Director of Supported Employment and managers with administrative tasks to ensure efficient program operations.

Qualifications

SKILLS AND QUALIFICATIONS

  1. Manage IPS waitlist daily.
  2. Notify referrals within 24-48 hours of referral(s) received and provide a projected timeframe.
  3. Maintain a tracking system to manage wait-listed members.
  4. Maintain the accuracy of the waitlist.
  5. Provide periodic updates to the referral to keep them engaged and informed.
  6. Track trends with waitlist numbers to assist with determining if the program capacity needs to be expanded.
  7. Gather feedback from referrals on the waitlist to improve the process.
  8. Assign referrals to Employment Specialist (ESs) based upon assigned treatment teams.
  9. Monitor timeframe of ESs contact referrals once assigned.
  10. Follow up with ESs if contact has not been made with referral withing 24-48 hours.
  11. Audit 5% of members charts weekly and report to Director of Supported Employment (DSE) and Managers weekly.
  12. Monitor flags and report to IPS Managers weekly.
  13. Submit internal referrals.
  14. Coordinate meeting spaces.
  15. Manage Vocational Rehabilitation (VR) Spreadsheet for Managers to enter accurate data for REDCap.
  16. Track Vendor Purchase Orders (VPO’s) in the VR Portal and distribute to assigned Employment Specialist and Manager.
  17. Track program outcomes.
  18. Assist the employment department with building partnerships with employers, workforce agencies, community organizations, etc.
  19. Monitor industry trends to aid with improving employment strategies and program effectiveness.
  20. Identify potential funding resources.
  21. Oversee/order office supplies
