Job Purpose
The Volunteer and Student Coordinator is responsible for managing all aspects of volunteer participation in supporting the delivery of health care services, both within the clinic and without, as well as administrating all logistics associated with Siloam student preceptorship.
Job Responsibilities
Primary Duties and Responsibilities
Volunteer Coordination
- Provides initial setup and training for new volunteers
- Places volunteers in active service at the main office and/or at satellite office(s) by matching their skills, qualifications and interests with the needs of the organization
- Facilitates new volunteer orientations, medical interpreter training workshops, and other training programs for volunteer groups
- Ensures volunteers are following established policies and procedures as set in the Volunteer Department policy manual
- Maintains the volunteer schedule for multiple clinic locations which includes communicating with volunteers and staff to coordinate fulfilling daily needs (tracked through email, online calendars and Volgistics, the volunteer management database)[MD1]
- Maintains records in the volunteer database system including tracking and providing statistics as needed for periodic reports
- Evaluates programs and services delivered by volunteers and assesses areas for improvement
- Creates and distributes periodic surveys to volunteers and staff to evaluate the effectiveness of the department
- Welcomes Siloam visitors and leads tours
- Assists the Director of Engagement with various activities such as community outreach, fundraising and special events sponsored by Siloam
- Participates in on-going quality improvement (QI) activities within the roles defined above
- Manages volunteer laptop scheduling and checkout including facilitating repair/resolution of laptop performance issues
- Performs other duties as assigned by the COO and/or the Director of Engagement
Student Coordination
- Communicates with prospective students and residents in the Primary Care Preceptorship Program via phone and/or email to explain the application process, the nature of a Siloam rotation, and available openings
- Establishes and coordinates a Training Calendar which involves the following:
- Matching requests for clinical rotations to preceptor availability
- Maintaining communication with academic institutions to ensure that dates for rotations are clearly understood
- Coordinating the trainee’s schedule with the preceptor’s schedule
- Manages the training schedule to ensure that the trainee is progressing through the plan.
- Facilitates new trainee orientations.
- Enters and maintains tracking data (e.g., contact info, indicators, results, outcomes)
- Assists the Institute Director with miscellaneous projects (fundraising mailings, curriculum assembly, etc.)
- Organizes and maintains live training workshops
- Participates in on-going quality improvement (QI) activities within the roles defined above
- Performs other duties as assigned by the COO and/or the Institute Director
Qualifications
Qualifications
- Passionate about Christian ministry to the underserved and in full agreement with Siloam’s mission and core values
- Willingness to serve persons with limited access to healthcare and who are from different cultures and faith beliefs
- Computer literacy and familiarity with MS Office products as well as electronic medical records preferred and willingness to learn new software applications
- Adherence to OSHA and confidentiality requirements
- Ability to work well in a team setting
- Skilled at communicating clearly
- Detail oriented with excellent follow-through skills
- Creates a weekly volunteer calendar as a reference for the clinic shifts each week, for multiple clinic locations, in order to inform staff of volunteer needs fulfilled
- Plans and implements various types of recognition activities to honor the contribution of volunteers
Education and Experience
- Bachelor’s degree preferred
- Two years’ relevant experience preferred
