Job Summary

Nashville CARES is seeking a highly motivated, hospitality-minded individual to serve as our Volunteer and Community Engagement Program Manager.   This individual will be responsible for coordinating all volunteer services including: planning, organizing, recruiting, training and managing all volunteers as well as working with CARES’ staff to ensure effective placement and utilization of volunteer groups and individuals.  This position is also responsible for coordinating community engagement events and building meaningful partnerships with corporate, civic and faith-based groups representing Nashville CARES throughout the community. 

Job Responsibilities

Core Responsibilities:

  • Develop and implement a robust community outreach program to increase awareness of the organization throughout Middle Tennessee.    
  • Identify, develop, maintain and strengthen relationships with civic, corporate, faith-based, educational and other community partners for volunteer service in agency programs, events, activities, and operations.
  • Ensure that effective and mission-focused communication occurs between Nashville CARES and current and prospective community partners.
  • Recruit, lead, manage, and coordinates the overall volunteer program including individuals and groups.
  • Manage training, scheduling, retention and dispersion of volunteers to respective departments.
  • Manage all communication and logistics for all collection drives and in-kind donations.
  • Maintain a current volunteer manual on job duties, policies and procedures.
  • Work with directors and managers to design recruitment, communication, and instructional materials in a variety of media that are consistent and mission-focused in content and style.
  • Identify and cultivate beneficial corporate and community partnerships (with support from the CEO and Development Director.
  • Explore creative avenues for building partnerships, including cause marketing and innovate ways to bring in revenue.
  • Develop and implement a volunteer recognition program, including coordination and planning of annual volunteer recognition activities.
  • Support special events and projects in all areas of the organization by matching volunteer interests and agency needs on an ongoing and proactive basis.
  • Work in conjunction with the development team to strategically plan group projects to engage current and potential stakeholders.
  • Raise awareness of agency in the community by seeking out opportunities to participate in community events that compliment CARES mission.
  • In collaboration with Marketing and Communications, help coordinate marketing and media opportunities during community outreach and volunteer service projects.
  • Support all special and third-party events including volunteer management and assignments, administrative support, data-entry, and in-kind donations solicitation.
  • Updates the donor database to reflect interactions with donors and volunteers including communications sent and received, meetings, volunteer hours etc. Conducts analysis and creates tracking reports.
  • Produces timely and appropriate donor acknowledgment letters for all in-kind donors as part of overall donor relations and stewardship.
  • Provide intra-agency oversight and advocacy to ensure timely linkage of volunteers to designated activities.
  • Evaluating programmatic needs and providing feedback on the implementation of new processes, creating team trainings to reinforce evolving standards when necessary.
  • Manage program budgets and volunteer database to maintain updated and complete records on all volunteer activity.

Qualifications

Required Qualifications:

  • Bachelor’s degree or equivalent relevant experience in volunteer management and community engagement, nonprofit management, or related field.
  • Superior written, verbal, and interpersonal communication skills with exceptional customer service sense.
  • Self-motivated and goal-oriented.
  • Highly organized and able to manage multiple projects with competing deadlines.
  • High level of discretion and confidentiality.
  • Proficient in Microsoft Office Suite
  • Ability to supervise and train volunteers
  • Reliable transportation for both regular work hours and special events. Staff members are reimbursed for work-related mileage.
  • Current driver’s license, clean DMV record and vehicle liability insurance.
  • Ability to work evenings and weekends as needed.

 

Preferred Qualifications:

  • Event management experience
  • Experience with Bloomerang software
  • Knowledge of HIV/AIDS and commitment to HIV/AIDS issues and Nashville CARES mission.
