Job Summary

Position Objective:  The Technical Assistance Coordinator contributes to the efforts of United Way of Greater Nashville by supporting the Director of HIV/AIDS Initiative in assessing the training needs of each regional Consortia for the Ryan White Part B & CDC prevention grants which provide funds for HIV/AIDS education, care, and prevention in Tennessee. This position budgets, plans, and coordinates training modules and arranges an annual statewide meeting for all contracted and subcontracted agencies throughout the state of Tennessee.

Training and Event Management Tasks

  • Serves as a liaison between Tennessee Department of Health (TDH) vendors, and funded service organizations to plan and coordinate all annual statewide meetings, semi-annual retreats, or trainings
  • Manages training budgets; submitting invoices and travel expense reports in a timely manner in order to justify expenditures to grantees
  • Negotiates contracts with hotels, meeting management facilities, speakers, and trainers in order to ensure meeting achieve desired outcomes and the event is within the budget.
  • Schedules, manages, organizes, and confirms complex meetings and travel including ensuring applicable participants receive per diem checks in advance of the meeting and hotel rooms are booked to ensure organization and accommodations for participants.
  • Develops training modules and coordinates training sessions for contracted and subcontracted agencies
  • Ensures meetings run smoothly by confirming vendors provide contracted service, evaluating trainers’ performance, and providing logistical support
  • Shares training reports to grantees and HIV funded training providers to achieve training work plan goals

  • Builds and preserves positive relationships with key community stakeholders, partners’ agencies, and community volunteers for continued program growth and community awareness through surveying providers to identify needs
  • Administers surveys to Regional Consortia’s and providers to determine technical assistance and training needs throughout the state of Tennessee
  • Develops innovative projects and coordinates roles and activities with community organizations for the purpose of encouraging collaboration for meeting the needs of the community as directed by the Director, HIV/AIDS Initiative
  • Coordinates and provides technical assistance regarding quality improvement monitoring



  • Education:
  • Bachelor’s Degree in Social Work, Research/Planning, Evaluation, Human Services or related field or 5 years’ relevant experience
  • Experience:
    • Working within federal grants and program planning: preferred
    • Working in a non-profit environment
    • Community and relationship building
    • Group facilitation and volunteer management
  • Knowledge:
    • HIV/AIDS prevention and education, as well as emergent policies and practices
    • Health Resources and Services Administration (HRSA) guidelines preferred
  • Skills:
  • Sensitivity to the HIV/AIDS cause without bias
  • Written, verbal, and technological communication
  • Proficiency with Window OS and Microsoft Office products, especially Outlook, Word, and Excel
  • Miscellaneous:
  • Valid Driver’s License and Proof of Insurance

Environmental Conditions and Physical Demands:

  • Employee must occasionally lift and/or move up to 20 pounds. The employee is required to stand, walk, climb and balance.
  • Employee spends a majority of time seated; working at a desk in front of a computer monitor.  Manual dexterity sufficient to reach/handle items and work with the fingers.
  • Employee is required to travel up to 15% of the time.
