Job Summary

The Receptionist provides first line of security for the center and is responsible for supporting management, greeting guests, answering phones, taking messages, and forwarding calls.

Job Responsibilities

  1. Meet and greet children, families, and visitors on arrival. Inform appropriate staff of visitors.
  2. Monitor security of center indoors and outdoors.
  3. Monitor door entry, screen visitors according to visitor protocol, keep door locked except during busiest drop off times.  
  4. Organize, monitor, clean and maintain reception area.
  5. Maintain both bulletin boards in common area as directed by management.
  6. Relay and enforce agency policies as it relates to the safety of children, families and staff according to DHS regulations and agency policies. Defer to management staff as needed.
  7. Answer telephones and transfer to appropriate staff member.
  8. Manage agency email and contact lists.
  9. Manage daily mail and deliver to appropriate office.
  10. Manage sign in-out daily sheets and EAV spreadsheet.
  11. Inventory, order, and organize office supplies.
  12. Create and modify documents/spreadsheets using Microsoft Office.
  13. Photocopying, faxing, mailing, and filing as needed for management support.
  14. Management of photocopier supplies.
  15. Maintain hard copy of employee forms and electronic filing system.
  16. Provide receptionist orientation for cover or substitute employees.
  17. Attend trainings.
  18. Other duties as assigned.

Qualifications

HS Diploma. Some college/degree/prior experience preferred.

  2. Successful Background Check and Health Screen
  3. Knowledge of Microsoft Office, email, and telephone protocol. Duties require professional verbal and written communication skills. 
  4. Excellent customer relations skill, professional and pleasant.
  5. Demonstrates initiative and accuracy.
  6. Physically able to unpack, stock and store supplies.
