Job Summary

Under the direction and supervision of the Executive Director, the Program Manager oversees and participates where necessary in all stages of the program, including enrollment of youth and volunteers; the matching process, match support and surveys, while also organizing staff training opportunities and ensuring program is operating at the highest possible standard. This position assists in staff training and intern management and is responsible for ensuring that programming is consistent with the agency’s mission, policies and procedures and aligns with BBBSA’s National Standards.

Job Responsibilities

Essential Functions

  • General
    • Works closely with Program staff to continually seek to improve Program functions and services and ensures that performance is directly in line with Agency goals and strategic initiatives
    • Conducts or participates in team and program events throughout the year including team meetings, program activities, and full staff meetings
    • Assists with match activities, recruitment events, fundraising and other agency group events as needed
    • Supports a culture of philanthropy by identifying and fostering potential donor relationships, potential corporate/business/community partnerships and engaging in events which benefit the agency
    • Identify and promote reengagement of volunteers as Bigs, board members, donors and in other volunteer capacities
    • Collaborate with other agency staff, managers and departments to share information and resources
    • Lead projects and assist when needed in service delivery of mentoring programs
    • Serve as back up in absence of ED, Mentoring Services
    • Stays current on program initiatives, training opportunities, and volunteer training updates from Big Brothers Big Sisters of America
    • Monitor metrics and meet enrollment goals in the areas of quality, completion and enrollment processing time, as well as customer satisfaction and QA file reviews.
    • Shares with the Executive Director potential partnership relationships as discovered through volunteers’ and parents’ employers and affiliations
  • Standards and Program Development
    • Ensure that the agency is in compliance with BBBS national standards, Service Delivery Model and other expectations as outlined in grant and other funding requirements.
    • Ensures that program staff members demonstrate high-level proficiency in, and application of child safety and risk management knowledge, policies, and procedures throughout all aspects of job functions according to set standards of practice and agency policies while maintaining high metric performance.
    • Assists in reporting requirements for grant initiatives and other funding sources.
    • Research best practices in youth protection within BBBSA network and in community.
    • Evaluate and update program forms and manual as needed in collaboration with Executive Director.
  • Team Leadership
  • Supervises Program Team Members to ensure high-level performance and delivery of quality services and work with team members to meet expected goals, objectives, and outcomes in enrollment, match support and closure practices in accordance with the BBBS brand and Standards of Practice
  • Fosters a team culture of accountability, trust, professionalism, and excellence
  • Leads program team meetings and monthly training sessions and conducts one-on-ones with staff to evaluate performance and identify training needs of team members and makes recommendations to Executive Director
  • Assist with new staff hiring and onboarding
  • Support team and agency efforts to provide excellent customer service to all constituents
  • Fulfills all Matchforce documentation requirements, utilizes Matchforce to prepare and track team performance, and demonstrates high levels of accuracy, efficiency, and leadership for team members and all other internal and external partners
  • Programming and Community Engagement
    • Assist in the development and implementation of current and new programs and partnerships
    • Provides annual reporting to programming partners to ensure accountability and program benefits
    • Works with the Executive Director and Director to cultivate new corporate partners and assist with grant funding process as needed
    • Manages special projects as assigned and often in coordination with the Program team
    • Creates community partnerships to assist with staff and volunteer engagement

Qualifications

Knowledge, Skills and Qualifications

  • Bachelor’s degree in social work or related field required.
  • Minimum one years’ experience in a BBBS agency with a history of outstanding performance in enrollment, matching and/or match support core functions.
  • Relationship management experience with youth and/or adult populations, with a working understanding of child development and family dynamics.
  • Demonstrated aptitude or experience in leadership and supervision.
  • Proficiency in Matchforce database, Microsoft Office and other internet-based applications
  • Cultural competency and ability to work sensitively with confidential information.
  • Excellent oral and written communication skills.
  • Ability to work both in a team and independently, to exercise good judgment, make sound decisions & problem solve.
  • Collaborative workstyle with strong interpersonal skills
  • A strong commitment to quality and results
  • Reliable transportation, valid driver’s license, state-required auto insurance minimums and willingness to travel as necessitated by job responsibilities.
  • Ability and willingness to work flexible hours (some evenings and/or weekends)
  • Must have willingness to facilitate trainings and presenting to groups of people.
  • Passion for mission and desire to learn and grow professionally required.

Salary range: $17 to $20/hour        Hours: 40 hours/wk.
