Job Summary

The Program Coordinator supports the daily operations of the Arts & Business Council of Greater Nashville through the day-to-day administration of six ongoing programs: 1) Volunteer Lawyers & Professionals for the Arts (VLPA), 2) Arts Board Matching, 3) Periscope: Artist Entrepreneur Training, 4) Education Seminars, 5) Fiscal Sponsorship, and 6) Creative Exchange, as well as other services and special events in service to the organization’s mission. Typical duties will include, but are not limited to:

Job Responsibilities

Programmatic/Operations

  • Assist Director of Programs with planning and coordination of the six core programs and their activities, including managing application cycles, facilitating communication with program participants or volunteers, and other coordination activities
  • Solicit quotes and book venues and/or vendors for various Arts & Business Council programs and events
  • Monitor program implementation to ensure it achieves its stated objectives, and assess areas for improvement
  • Work to keep programs on schedule and functioning smoothly, within stated budgets
  • Perform critical outreach and engagement activities to publicize and promote programs to the community

Marketing

  • Coordinate program marketing efforts with direction from the Director of Programs
  • Maintain the Arts & Business Council’s online presence, particularly on social media
  • Create program content for digital marketing channels including website, email newsletter, and social media
  • Gather and track relevant program marketing data (social media, website analytics, etc.)

Administration

  • Perform detailed data entry related to program participation and assist with program reporting, both internally and for the preparation of grant requests and funding continuation related to programs
  • Assist with filing documents, making copies, and providing additional as-needed administrative support to staff
  • Support Director of Programs in board relations by preparing Program committee meeting materials, as well as attending meetings and documenting notes
  • Schedule and coordinate program-related meetings and events
  • With Director of Programs, generate and track invoices and payments

Qualifications

Education/Experience

  • High school diploma or GED required; Associate’s degree or Bachelor’s degree preferred
  • Administrative and/or office management experience a plus
  • Program administration and/or event planning experience a plus
  • Marketing and/or graphic design experience a plus

Characteristics, Knowledge, Skills and Abilities

  • Passion for serving and building relationships across the Greater Nashville arts community, including artists, arts nonprofits, and creative businesses
  • Excellent public and interpersonal relations skills
  • Strong organizational and time management skills
  • Ability to multitask and prioritize responsibilities while adhering to deadlines
  • Outstanding written and oral communication skills
  • Dynamic self-starter with a high degree of professional independence and ability to exercise impeccable judgement with minimal guidelines
  • Collaborative mindset, confidence working within a small team, and proven ability to work with a variety of people and environments
  • Excellent knowledge of office software including Microsoft Office and GSuite (Docs, Sheets, Forms, etc.)
  • Familiarity with task management software such as Asana, Basecamp, or Slack
  • Comfort using databases and marketing analytics tools — Salesforce and/or Google Analytics experience a plus, but not required

Environmental Conditions & Physical Demands

  • The work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices, meeting and training rooms; use of safe work practices with office equipment, avoidance of trips and falls, and observance of fire regulations. The Arts & Business Council employs a flexible, hybrid work model with time spent in a temperature-controlled office and/or the employee’s preferred remote work location.
  • Some work outside of typical office hours may be required during the planning and execution of special events. Some light local travel to run errands may also be required.
  • The work environment will require walking, standing, bending and carrying of items weighing 1-15 lbs. Also, the employee must have manual dexterity, visual and auditory acuity.
  • Some repetitive motion is involved.
