East Nashville Hope Exchange, Inc. (ENHE) is looking for an enthusiastic and passionate candidate to fill our Program Coordinator role. East Nashville Hope Exchange’s (ENHE) mission is to strengthen the literacy of at-risk children in East Nashville. Our vision is to inspire “reading for life” in
our children and their families. We emphasize summer learning, family and community engagement, and striving for grade-level profi ciency in reading. During the summer we operate intensive 6 week instructional programs staffed by certifi ed teachers with individualized literacy instruction and a thematic focus of “My Family, My Community, My World,” through books, projects, daily guest readers, and fi eld trips. Weekly family workshops teach families how to support literacy at home and do well in school. During the school year we support student progress through monthly family workshops, tutoring, facilitation of nightly reading at home, follow-up phone calls, and home/school visits.

Job Responsibilities

The Program Coordinator performs a wide range of duties including, but not limited to, some or all of the following:

Program Support
•Create and maintain database of enrolled students and create online datamanagement tools for summer program
•Assist with monthly Family Workshop on second Saturday of each monthduring school year, including overseeing sign in, book distribution,photographic record, and volunteer direction
•Oversee application submissions and enrollment process for summerprogram students
•Screen applicants, maintain complete student files and schedule assessments
•Provide case management for program families during school year, includingmonthly phone calls and other communication as needed
•Communicate upcoming events, decisions, and reminders to families by textmessaging system, webpage, phone, mail and/or email
•Send monthly newsletters and other materials by mail to families
•Provide project support as needed
•Maintain records and manage student data collection/measurement ofoutcomes for program evaluation and grant reporting purposes

Provide Financial/Management Support
•Prepare bank deposits, check requests, and debit card authorizations forDirector’s approval
•Record and process income transactions from PayPal and Square
•Record and track enrollment fee and aftercare payments from students
•Code and file financial material according to established records managementprocedures
•Help manage expense records, including receipt copies, for grantmanagement and reimbursement purposes
•Use computer software to prepare invoices and financial statements
•Request background checks for staff and volunteer applicants

Provide Development Support
•Draft and prepare direct mail and invitation appeals
•Generate mailing lists for appeals and email lists for volunteer requests
•Administer development database, including entering gifts & volunteer hours,maintaining constituent records and generating reports
•Draft and send acknowledgments and other communication to donors andvolunteers
•Assist with grant calendar and records
•Assist with special fundraising events, including Spring Wine Tasting, FallBooked for Dinner, Tomato Art Fest, Big Payback, and Giving Tuesday
•Promote organization at community events
•Update website as needed for events
•Social Media Management

Office Administration
•Use computer word processing, spreadsheet, and database software toprepare forms, reports, letters, and documents
•Prepare and send outgoing faxes and mail
•Forward incoming general e-mails to the appropriate staff member
•Purchase, receive and store the office supplies ensuring that basic supplies arealways available
•Code and file material according to the established procedures
•Update and ensure the accuracy of the organization’s databases
•Back-up electronic files using proper procedures
•Provide secretarial and administrative support to management and other staff
•Make travel, meeting, and other arrangements for staff

Reception
•Answer email, in person, and general phone inquiries using a professional andcourteous manner
•Reply to general information requests with the accurate information (Refer specific inquiries to appropriate personnel (Executive Director, LeadTeacher, Volunteer Coordinator)
•Greet clients/suppliers/visitors to the organization in a professional andfriendly manner

Volunteer Coordination
Organization, Records, and Communication pertaining to program volunteers: Ensure all elements of program are executed smoothly by organizing materials and records and communicating effectively (Primarily Summer Program).
•Meet with Executive Director weekly
•Assist with daily sign-in and sign-out procedures
•Track daily attendance
•Assist with maintaining Food Program records
•Call / text with parents regarding daily attendance (tardies or absences)
•Post signs and send text messages to each family regarding special events
•Make sure all student and program records are maintained in an organizedmanner
•Schedule and coordinate volunteers for all programs SYP & Summer Programs- for both sites
•Schedule and Coordinate Guest Readers for both sites
•Report any concerns regarding staff performance immediately to the LeadTeacher
•Substitute for teachers in their absences, implementing teacher’s plans forinstruction
•Administer parent, volunteer, and guest reader surveys (Track data inspreadsheet)
•Participate in the Debrief and Packing/Inventory of the program.
