FiftyForward has an excellent opportunity for a Program Assistant.  This is a full-time position 40 hours per week, Monday – Friday, with availability to work flexible schedule including evenings.

In this role, you will help with programs for members at both the Donelson and Madison locations, assisting with the Centers’ day-to-day operations in alignment with FiftyForward’s mission to provide the highest quality services and programs for older adults.

Job Responsibilities

  • Assist with Center programming, including setup/break down of tables and chairs, audio visual equipment, and cleaning before and after activities.
  • Assist in the creation of monthly activities for the calendar and newsletter.  Enter events into MySeniorCenter and MembershipWorks databases.
  • Assist in maintaining the Centers’ Outlook Calendars by keeping an up-to-date master schedule of all rooms, classes, meetings, trips, special events, and outside facility usage to reflect the current monthly usage.
  • Assist in promoting Center programming and events to members and community at large through social media posts and Constant Contact emails.
  • Under direction of supervisor, provide supervision to volunteers daily including updating them on current Center offerings, providing ongoing support and training.  Accurately track volunteer hours for monthly reports.
  • Assist in covering front desk, including answering phones, taking payments, registering Center members for membership renewals and/or events, registering nonmembers for membership, and giving tours.
  • Provide administrative support to Center staff as needed, including creation of documents, making phone calls to members and outside associates, making social media posts, and sending Constant Contact emails.
  • Stay informed of organization and Center programs to promote and share with members.
  • Drive organization vehicles as needed for daily programs, special events, and transportation of members.
  • Open and/or close Centers in accordance with safety and security standards.
  • Report any issues, concerns, and accidents to supervisor, including maintenance or repair needs for the building and grounds.  Complete and submit incident reports when needed.
  • Collaborate with team to continually evaluate, implement, and improve systems, programs, and functions of Centers.
  • Attend meetings as required.
  • Oversee the operation of the Center in the absence of other staff.

Qualifications

Skills

  • Effective communication (verbal/written).
  • Active listening, giving full attention to other people’s needs, taking time to understand the points being made and asking questions as appropriate without interruptions.
  • Ability to work independently and within a team.
  • Proficient computer skills, MS Office 365 (Outlook, Word, Excel, PowerPoint, Teams, and Publisher).
  • Proficient in database management.
  • Proficient using multi-user copier, multi-line telecommunications system, and audio-visual and sound equipment.
  • Excellent detail, organization, and problem-solving skills.
  • Open to constructive feedback, and creative dialogue with FiftyForward Management Team.
  • Proven ability to be flexible and work cooperatively with a wide range of members, constituents, and stakeholders.
  • Promote and uphold FiftyForward’s mission of supporting, championing, and enhancing life for those 50 and older.  Ability to work with older adults.

Qualifications:

  • High school diploma or GED equivalency.  Equivalent experience may be substituted for education.
  • 1-3 years’ experience working in a customer/client focused environment.
  • 1-3 years’ experience working with active older adults preferred.
  • 1 year experience working in a non-profit organization is a plus.
  • 1 year experience driving a 13-15 passenger vehicle/bus preferred.
  • Must be CPR certified or willing to be trained.
  • A valid TN driver’s license including a good motor vehicle record, and appropriate automobile insurance.
