Job Summary
Implement, oversee, and supervise all activities related to sourcing goods, related services, and managing vendors within Thistle Farms. This position will develop the ability to perform strategic procurement activities across multiple categories of spending; source and negotiate more competitive pricing; and build strong supplier partnerships.
Job Responsibilities
- Monitor and update relevant departments regarding price fluctuations of goods and vendor pricing
- Negotiate contracts, terms, and deadlines with vendors and suppliers
- Process purchase order to acquire goods
- Manage an efficient flow of goods to ensure optimum production
- Monitor and review market trends product availability, and contract specifications
- Monitor and forecast upcoming levels of demand
- Maintain up-to-date costs of raw goods and communicate significant cost changes with the Operations Team
- Seek and partner with reliable vendors and suppliers
- Determine quantity and timing of deliveries
- Reconcile raw material quality issues with vendors: negotiate credit, returns, and disposal when applicable
- Manage credit card reconciliation for all Body & Home credit cards
- Responsible for keeping an up-to-date list of accruals and prepaid materials for end-of-month accounting report
- Vet new vendors to ensure their mission and standards are aligned with TFs and supportive of a Justice Enterprise
- Support Marketing and R&D efforts in sourcing and bringing in samples of new packaging, raw materials, etc., and negotiate rates, turnaround times, and accounting setup with any new vendors.
- Participate in the Operations Management Team, Product Development Team, and Sales/Ops Team
- Support general operations with the ordering of office supplies and manage recurring deliveries on Amazon (consumables)
- Support monthly inventory cycle counts
- Work with and improve existing software applications and programs
- Develop, lead, and execute cost-effective purchasing strategies for Body & Home
- Create and report key functional metrics to reduce expenses and improve effectiveness
- Craft negotiation strategies and close deals with optimal terms
- Improve systems and monitor and forecast upcoming levels of demand
- Develop risk management procedures to mitigate supply chain disruptions
- Partner with stakeholders to ensure clear requirements documentation
- Other duties, as assigned by the Sr Director of Body and Home
Qualifications
- Minimum of 2 years of purchasing experience or equivalent experience and education
- Technology savvy
- Understanding of Excel: use of pivot tables, VLOOKUPs, and functions is required (training available)
- Understanding or ability to quickly learn inventory management systems (Topshelf)
- Proficiency in Microsoft 360
- Strong written and verbal communication, including via telephone and via email
- Self-directed: strong organizational and time management skills; adapts to ever-evolving
- priorities and assignments while executing in a timely manner
- Mission-oriented
- Good judgment, strong critical thinking, and problem solving skills
- Collaborative team player in all areas of Body & Home
- Ability to multi-task and switch priorities quickly
Physical Requirements:
- Be able to bend, stand, pick up, and reach arms above the head
- Be able to stand for at least 3 hours at a time
- Be able to work 8 hours in a shift
- Be able to lift 15 lbs. regularly
- Be able to lift 40 lbs. occasionally
