Position Title:                    Pregnancy Services Coordinator               

Position Type:                   Regular, Full-time 40 hours per week

                                                Monday-Thursday 8:30am-5pm; Fridays from 8:30am-2:30pm

Work Environment:        This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.

Hope Clinic for Women is a faith-based, safe and confidential place for anyone dealing with life choices regarding past, present and future pregnancies. We provide education classes, professional counsel, case management, mentorship and medical care for anyone regardless of age, race or religion.

Job Responsibilities

Position Description:  

 

Front Desk and Crisis Pregnancy Phone Coverage (25% of time)

  • While at the front desk (typically 2 hrs/day and when receptionist sick/vacation/lunch): Answering main phone/texts and other typical reception duties greeting clients, booking appointments, checking in clients for classes, taking fees, and ensuring paperwork filled.
  • Answer incoming pregnancy related crisis calls during peak hours of the day when interns/volunteers are not able to get to all calls (not at front desk).

Initial Pregnancy Test Visit (and follow up visits)( 10% of time)

  • When interns/staff not available; provide the lay counseling portion of the first and follow up pregnancy related visits through the ultrasound visit (working with a medical staff person for the medical portion of the visit).
  • Pull no-show reports for all related initial pregnancy visits and make follow up calls on a weekly basis;
  • Working with staff to ensure all paperwork correctly filled out and entered into EMR.

Pregnancy Bridge Assessments and Intake:

  • Ensure Bridge Assessments are scheduled within 1-2 weeks of the ultrasound visit; Bridge Intakes scheduled by the 2nd trimester to enter the Program; pulling no show reports and making follow up calls on a weekly basis.
  • Ensure all Bridge Assessment Visits and Bridge Intake Visit paperwork/packets are completed.
  • Pull no-show reports for Bridge Assessments and Intakes and make follow up calls on a weekly basis;
  • Provides Bridge Assessment Visits and Bridge Intake Visits in the event the Pregnancy Services Manager, Pregnancy Case Manager or interns unavailable;
  • Pulls report of positive PT and US clients who should do assessments and intake but not enrolled.
  • Working with staff to ensure all paperwork correctly filled out and entered into EMR.
  • Working with Pregnancy Manager with scheduling Bridge Classes.

Pregnancy Bridge Classes/Groups:

  • Facilitate (teaching) education classes and support groups as needed;
  • Work with Pregnancy Services Manager to create and manage a quarterly calendar of Pregnancy Bridge classes and groups; ensure that instructors and group leaders are scheduled;
  • Regularly update Bridge classes on Google calendar/reserve room on Outlook calendar; print calendars
  • Responsible for ensuring set-up of Bridge classes and groups: including printing materials, setting up rooms, providing snacks, etc.
  • Responsible for Bridge communications (group texting, phone calls to instructors and fielding client questions)
  • Weekly double check paperwork and ensure all Bridge Activity for Mentoring, Counseling, Education Classes (online and onsite) and Case Management is entered into EMR for clients.

Bridge Mentoring:

  • Send mentor reminders on a regular basis; assist with coordinating appointments
  • Able to mentor clients if no one available.
  • Match clients to mentors and facilitate introductions and instructions on how to set up sessions

Volunteer Selection, Training and Scheduling

  • Manage volunteer calendar and send confirmation/reminders for mentor appointments and follow-up with volunteers who have been inactive;
  • Responsible for the oversight of ongoing weekly communication with volunteers to foster engagement, discuss concerns, schedule changes, etc.;
  • Work with Pregnancy Services Manager to secure coverage for all areas of service to Bridge clients through volunteers, interns, or staff
  • Oversee maintenance of printed materials and resources for program volunteers.

Clothing Room:

  • Work with Volunteer Clothing Room Coordinators to ensure that volunteers are supervised in sorting, organizing and stocking the clothing room;
  • Ensure that donations are properly documented, stored and integrated into the clothing room;
  • Plan and oversee periodic changes in items stocked by season and donation or discard of items that are not being used or past expiration;
  • Take clients to shop as needed; work with other staff and volunteers to ensure clients are able to shop during all operating hours

Analytics and Reporting:

  • Pull Bridge Intake report on a weekly basis and check in with clients to determine program area interest and availability; update spreadsheet accordingly;
  • Monitor consistency of measurement tools/surveys and when they need to be administered to clients and enter results in Athena
  • Collect and record monthly testimonials (written, photos, newsletter, special pieces, events, interviews) from clients in the program.

Administrative:

  • Compile lists of clients to call for classes/reminders/invites etc.;
  • Prepare items for clients graduating from Bridge: print certificate, gift card, etc.;

 

Required Meetings:

  • Staff meetings;
  • Weekly meetings with Pregnancy Services Manager and Pregnancy Team;
  • Quarterly Staff Retreats;

Qualifications

Degree/license/experience requirements:

  • Bachelor’s degree;
  • Experience working with grants (data collection and analysis)
  • Project Management experience; leadership skills
  • Organized, detailed oriented.
  • Experience working with volunteers, preferred.
  • Social work or counseling experience preferred
