Job Summary
The primary objective of the Practice Manager is to provide day-to-day oversight for Siloam Health’s primary care and walk-in clinics at Melrose and Antioch through organization, collaboration and structure so that organization goals can be met and our mission lived out daily.
Job Responsibilities
Primary Duties and Responsibilities
- Oversees all daily medical practice operations of Siloam’s primary care and walk-in clinics
- Organizes, prioritizes, and schedules work assignments for medical staff to meet practice timelines
- Communicates on a regular basis with medical staff to create an open and honest work environment that is effective and efficient
- Analyzes daily workflow of clinical practice staff, working to optimize medical visit volume and meet medical visit goals
- Collaborates with physician and nurse leadership and implements changes in policies and protocols to meet stated goals
- Ensures that each member of the clinic team has the support they need to carry out job responsibilities
- Oversees two to three direct reports: the Patient Relations Manager, the Referral Coordinator, and possibly a part-time Refugee Clinic Manager
- Champions an ongoing patient engagement survey at all clinic locations to obtain meaningful patient feedback and improve the patient experience
- Works with the Patient Relations Manager to address patient complaints in a compassionate and timely fashion
- Oversees maintenance and replacement of medical equipment with medical staff input
- Manages and coordinates cost-effective contracts with vendors including biohazardous waste pickup, retinal screenings, etc.
- Participates with the Assistant Operations Manager in supporting IT needs for all clinic staff and supports EMR users as a super user
- Participates with the Chief Medical Officer and Nurse Manager in preparing budgets for Siloam’s clinics annually, and manages expenses according to budget guidelines
- Participates with the Nurse Manager in ensuring that federal and state laws and guidelines are followed (e.g., OSHA, CLIA, etc.)
- Maintains knowledge of health care trends by obtaining practice management certification, maintaining professional organization memberships, and attending educational courses and webinars
Additional Satellite Office Duties and Responsibilities
- Facilitates staff meetings at satellite office(s) as necessary with agendas prepared in advance
- Collaborates with physician and nurse leadership to ensure coverage for all hours of service, including backup coverage when satellite staff are out
- Coordinates facility repairs and routine facility maintenance at satellite(s), interacting as necessary with landlord
Qualifications
Education and Experience
- Bachelor’s Degree
- Three years of experience managing in a medical office
Qualifications
- Passionate about Christian ministry to the underserved and in full agreement with Siloam’s mission and core values
- Willingness to serve persons who are from different cultures and faith beliefs
- Strong organizational skills
- Collaborative experience and strengths
- Ability to work under minimum supervision with strong initiative
- Proven record in making good decisions quickly and under pressure
- High level of computer literacy
- Flexible, open to change, and confident in trying new things
- Ability to work well in a team setting
- Adherence to OSHA and confidentiality requirements
- Familiarity with medical terminology is preferred
- Bilingual preferred (English/Spanish or English/Arabic)
- Ability to communicate effectively with those from different cultural and linguistic backgrounds
