Job Summary

Serves as the bridge to new patients for establishing services with Special Kids; provides support services to all patients through referrals management, new patient intake, complaint resolution, and enhancing patient experience by performing the following duties.

Job Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Identifies and monitors trends in referral volume, providing input to the Director of Therapy for decisions regarding patient capacity
  • Completes new patient intakes, liaising between referral sources and the family to ensure a smooth transition and commencement of services
  • Clearly communicates rights and responsibilities, policies, procedures, and expectations to patients
  • Manages and competently resolves patient grievances/complaints with little to no supervision
  • Collaborates closely with the Billing Office and Patient Services departments to ensure financial obligations are arranged and patients gain access to services in a timely manner
  • Enters patient information into the electronic medical records system
  • Takes an active role in the upcoming launch of the Special Kids patient portal
  • Takes initiative to change, revise, and refine operating procedures for efficiency and best patient experience; proactively searches for ways to eliminate redundancy in processes
  • Monitors patient satisfaction through periodic survey analysis
  • Processes medical records requests
  • Proactively coordinates with the Special Kids grant writer to identify and apply for sources of financial assistance that would benefit parents and families
  • Refers families for outside community resources and other organizations as necessary
  • Proactively researches the availability of, and changes to, government support programs and opportunities for families
  • Will be fully crossed trained with, and serve as an alternate to, the front office Patient Services team
  • Attends meetings and conferences and participates in other activities to promote professional growth

Education and/or Experience

Bachelor’s degree required; degree in Business, Healthcare Administration, or other related field preferred; at least 4 years of professional healthcare administrative experience and a minimum of 3 years serving in a leadership capacity, which may overlap with the required 4 years of administrative experience.

Computer Skills

To perform this job successfully, an individual should have excellent computer skills and the ability to intuitively learn new software, web-based applications, and electronic medical record systems.

Certificates, Licenses, Registrations

CPR certification is required; HIPAA certification encouraged.
