Teach For America’s greatest contribution is the diverse, innovative, and courageous leadership force that we support across our regions.  The Coordinator, External Affairs is a unique role that supports our network of corps members in Nashville and Chattanooga and is primarily responsible for providing AmeriCorps project management across the region.  You will work closely with your manager, the Managing Director, External Affairs, to successfully manage this high stakes program that has a direct impact on corps members.  You will laterally manage, collaborate, and build relationships with various regional teammates to ensure that corps members’ experience with AmeriCorps is strong, compliant, and integrated within the broader program.  You have strong organizational proficiency, a knack for learning and building systems, and a unique ability to manage processes and systems simultaneously. You are committed to continual learning and improvement and you love to get stuff done. This role is part-time with an average time commitment of 10 hours per week with seasonal periods of significantly increased hours, particularly during the summer (where hours can increase to 20-30 per week), and seasonal periods of decreased hours.   

Job Responsibilities

PRIMARY RESPONSIBILITIES 

Oversee grant compliance for AmeriCorps (95%):  Oversee Nashville-Chattanooga regional team compliance with AmeriCorps grant requirement by managing corps members, staff members, and national public funding team members to understand and follow grant requirements 

  • Review, reconcile, and organize corps member eligibility documents
  • Scan all hardcopy files to Placement Tracker
  • Create and manage systems for tracking background checks, exiting, enrolling , and eligibility documents
  • Document processes and procedures for updating and collecting information that can be shared
  • Track action items to ensure corps members are meeting deadlines 
  • Organize files and closely follow grant compliance instructions from national team
  • Support Teach For America’s relationship with Volunteer Tennessee, including making timely responses to communications, attending events and trainings, and abiding by program requirements 
  • Help host Volunteer Tennessee staff members and/or board members for annual sites visits and meetings, as requested 
  • Maintain AmeriCorps branding requirements, ensuring proper logo placement on our materials, purchasing and distributing items such as pins, hats, signs, and shirts to corps members, and posting AmeriCorps highlights on our social media sites. 
  • Leverage relationships across the Program Team, primarily the Teacher Leadership Development teams, to ensure compliance and maximize program results.  
  • Collaborate with the Manager, Corporate and Foundations, the Program Team, and the Grants and Contracts team on AmeriCorps Grant Compliance and grant award including but not limited to: progress reports, financial status reports (FSR, internal and external audits.

External Affairs Support (5%): Support team-wide priorities for Nashville-Chattanooga and organizational-wide initiatives. Examples could include:

  • Regional events and programming (such as teacher orientation and end-of-year celebration)
  • Additional team administrative support
  • Collecting teacher data 

Qualifications

THE MUST HAVES 

Prior Experience

  • Experience planning and implementing complex organizational systems, such as complex record-keeping or digital tracking required
  • One or more years of work experience highly preferred
  • Previous experience with AmeriCorps  is a plus

Work Demands

  • Ability to work flexible hours to communicate with and meet the needs of members, occasionally outside regular business hours as needed
  • Ability to independently manage a varied workload, including periodically heavier seasonal hours to meet deadlines, especially during May, June, and August
  • Willing to work from home if not located near a Teach For America office location

  • Proficiency in Microsoft Excel required
