Morning Star Sanctuary, a biblically-based organization that exists to provide refuge for victims of domestic violence and their children consistent with AGAPE’s Mission and Statement of faith, is now hiring for the following position:

Position Title: Operations Manager

Reports to:  Domestic Violence Program Director

Purpose:  To assist in the daily oversight of program operations for AGAPE’s residential domestic violence shelter and court advocacy programs.  The Operations Manager position serves as a key role of the administrative team, supporting AGAPE domestic violence program’s business activities.  The Operations Manager will serve as a point of contact for program vendors, volunteers, and in-kind donors.  The Operations Manager will perform select personnel management activities, assisting with the hiring process, employee onboarding, payroll, and personnel file management.  The Operations Manager will be familiar with all relevant federal and state guidelines to ensure operational compliance with funding sources.

Job Responsibilities

Administrative: Works with the Domestic Violence Program Director and AGAPE leadership to ensure residential and court advocacy program policies and procedures comply with federal rules and regulations.  Ensures staff are providing proper documentation of services and maintaining client files in accordance with federal rules and regulations/funding guidelines.  Assists Business Director as needed to determine and track expense allocations for contracts.  Makes operational purchases for the residential emergency shelter and court advocacy programs.  Serves as a point of contact for program vendors, including maintenance technicians, lawncare, pest control, security technicians, and cleaning company services.  Performs other administrative tasks: answers domestic violence program’s business line, plans and coordinates volunteer events/services, stocks office supplies, receives and distributes program mail, manages program’s events calendar, coordinates delivery of in-kind donations, and assists and informs program staff with operational concerns and announcements.

Reporting:  Creates program reports in accordance with federal and state guidelines to ensure operational compliance with funding sources.  Provides monthly, quarterly, biannual, and annual statistics/reports to Program Director/Executive Director to reflect program activities and outcomes.

Personnel Management: Recruits and responds to volunteer inquiries.  Participates in the interviewing and hiring of new residential and court advocacy program staff and volunteers.  Makes hiring recommendations to Program Director and Executive Director.  Onboards new staff and volunteers.  Assists in staffing court advocacy shifts in coordination with Court Program Supervisor.  Reviews and approves employee payroll for residential and court advocacy program staff.  Creates and manages personnel and volunteer files to ensure compliance with program funding sources.  Ensures staff complete annual trainings required by the organization and program funding sources.

Qualifications

Must be a competent professional with excellent interpersonal and communication skills, maintain confidentiality, ability to take initiative, conflict management, culturally sensitive, team focused and collaborative, and ability to clearly/objectively document information.

Qualifications include:

  • BS/BA in Business Administration or related field or equivalent training and work experience
  • Knowledge of nonprofits and residential/shelters preferred
  • Team player with leadership skills
  • Analytical with problem-solving ability
  • Proficient in MS Office
