Job Summary

This is a full-time, possibly remote position ideally located in Nashville, Tennessee, with at least quarterly travel to Nashville, if not located there, once travel resumes.

Position Description:

The Operations Coordinator will support our Program Team with all team and service operations, logistics and document editing needs. The team member will support the accurate, timely and quality production of team deliverables and work products by copy editing and formatting internal and external documents and materials. This role will support internal knowledge management structures, materials organization,  and data systems for the program team. The Operations Coordinator will plan and execute all logistics related to team meetings and trainings, and support team leadership directly with scheduling and coordinating team meetings, communications, and travel logistics when necessary . This person will play a critical role in supporting the Program team’s coordination and execution on a day-to-day basis. From creating and managing project plans to communicating with Instruction Partners staff, they will ensure all program work runs smoothly and efficiently.

Job Responsibilities

Responsibilities:

  • Support Program Team with document and materials production, including:
    • Proofread text and correct spelling, grammar, and punctuation errors
    • Identify text inconsistencies in tone and logic
    • Verify factual correctness of information, such as dates and citations
    • Check text for style, readability, and adherence to branding guidelines
    • Suggest rewording of text and undertake formatting of documents, spreadsheets, presentations, surveys, forms and reports to improve clarity, readability, and visual impact
  • Execute logistics and support for internal team operations
    • Support team communication and coordination
    • Support team knowledge management structures and materials sharing – particularly on drive and our internal Knowledge Hub
    • Make travel arrangements and support expense reconciliation, as applicable
  • Support Program Team on event logistics, including:
    • Coordinate event logistics, such as
      • Ordering non-print and printed materials for events
      • Coordinating catering for events
      • Securing meeting space and coordinating with host sites
    • Prepare logistical briefings, written and/or verbal, containing site-specific and general training information
    • Provide on-site event coordination and support for complex events
    • Secure travel and lodging for traveling team members and contractors
    • Coordinate with relevant parties to design surveys for participants and support internal learning through curation of meeting survey data
    • Communicate with participating stakeholders
  • Serve as the project coordinator across workstreams and support planning and execution of Program team’s project plans
  • Maintain data dashboard for the Program team
  • Sit on the operations team and work on organization-wide operations projects

Qualifications

Candidate Qualifications and Traits:

  • Strong writing and document editing, formatting and production skills
  • Some education experience preferred
  • Some customer service or administrative support of senior management preferred
  • Experience managing complex projects and multiple work streams
  • 2+ years of experience with event planning and logistics
  • Experience managing complex projects and multiple work streams
  • Proficient in Microsoft Office and Google Suite
  • Excellent organization and attention to detail
  • Self-starter with strong reasoning and communication skills and comfort with ambiguity
  • Strong desire to provide high-quality customer service
  • Desire and ability to work in a fast-paced, collaborative environment
  • Able to keep many projects moving forward concurrently

Benefits

Compensation:

The salary range for this position is $42,000 – $62,000.  Compensation is competitive with charter and nonprofit sector positions and is commensurate with experience and geographic market.
