Job Summary

Position Description:

The Operations Coordinator will be tasked with supporting our Partnerships team members with all operations and logistics needs. The role will plan and execute all logistics related to partner delivery, meetings and trainings for the assigned teams and partner regions and maintain scheduling, time tracking, and financial tracking systems. The Operations Coordinator will play a critical role in supporting the weekly and monthly coordination and execution of all our partner school system deliverables for the assigned teams. From creating and managing project plans to communicating with partners and participants, they will ensure all partnerships and professional development work  runs smoothly.

Job Responsibilities

Responsibilities:

  • Support 1-2 Managing Directors of Instructional Support and their regional cluster teams on all team operations, including:
    • Coordinate event logistics, such as
      • Scheduling large virtual training sessions
      • Provide online logistics support (i.e. tech support, break out rooms, etc.)
      • Building online access for resources and materials
    • Prepare logistical briefings, written and/or verbal, containing site-specific and general training information
    • Coordinate with relevant parties to design surveys for participating coaches, and support internal learning through curation of meeting survey data
    • Communicate with participating schools and systems, coaches, principals, and stakeholders
    • Support with scheduling district meetings for each pod
    • Support clusters with team meetings
  • Serve as the project coordinator across workstreams and support planning and execution of each team’s project plans
  • Work with the Executive Director of District Partnerships to execute logistics and operations for the District Partnerships team broadly
  • Maintain project plans for the partnerships team
  • Maintain and audit work trackers and financial tracking systems, including:
    • Clusters
      • Work with clusters to ensure the most updated information is logged in tracked in work trackers
      • Conduct audits to identify any errors or missing data
    • Partners
      • Create invoices for partners to outline number of hours spent on services
      • Create and maintain a organization plan for all invoices
    • Contractors
      • Ensure timely payment of contractors
      • Create and send contracts to part-time staff, collect timesheets, and send invoices
  • Sit on the organizations operations team and work on organization-wide operations projects
  • Provide support to other Growth and Delivery teams as needed, specifically providing scheduling and logistics support to our State Services team, including support for copy editing and materials access; providing data analysis. material formatting, and scheduling support to EDs, MDISes, and DISes around new partner engagement and partner renewals

Qualifications

Candidate Qualifications and Traits:

  • 2+ years of experience with logistics planning
  • Some education experience preferred
  • Experience managing complex projects and multiple work streams
  • Proficient in Microsoft Office and Google Suite
  • Excellent organization and attention to detail
  • Self-starter with strong reasoning and communication skills and comfort with ambiguity
  • Strong desire to provide high-quality customer service
  • Desire and ability to work in a fast-paced, collaborative environment
  • Able to keep many projects moving forward concurrently

Benefits

Compensation:

The salary range for this position is $42,000 – $62,000.  Compensation is competitive with charter and nonprofit sector positions and is commensurate with experience.
