Job Summary

TIRRC is seeking an enthusiastic Operations Coordinator to support TIRRC’s senior leadership, manage administrative tasks, maintain contacts, and facilitate communication between the Executive Director and staff, board, and external partners to ensure TIRRC’s organizational goals and objectives are accomplished.

Job Responsibilities

Senior Leadership Administrative Support

  • Manage and prioritize the schedule and daily communications of the Executive Director, including  preparing correspondence and communications;
  • Support the Executive Director with participation in various coalitions and boards as needed;
  • Create and/or gather meeting documents for presentations and meetings, manage agendas, and recording detailed notes for senior leadership;
  • Manage complex calendars of senior leadership with internal and external stakeholders;
  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking and transportation for senior leadership;
  • Manage submission of monthly reporting for the Executive Director’s expense reports, reimbursements, time sheets, and other forms as needed;
  • Track projects and programs for the Executive Leadership Team, as necessary.

Board Administration

  • Manage logistics for meetings of the Boards of Directors for TIRRC and TIRRC’s sibling organization, TIRRC Votes including scheduling, communication with Board members about meeting dates and reminders, recording minutes or notes, and execute setup for hybrid board meetings.

Office Coordination

  • Perform office tasks including ordering supplies and maintaining records and inventory;
  • Schedule and coordinate logistics for staff meetings and staff retreats;
  • Perform administrative and office support, including receipt and data collection and clean-up for CRM;
  • As capacity allows, take on specific projects to develop skills in other areas.

Qualifications

  • Belief in TIRRC’s mission and commitment to social justice;
  • 2-3 years experience in administrative role strongly preferred;
  • Ability to establish and maintain positive working relationships with diverse communities; 
  • Ability to manage multiple tasks with attention to detail and strong time management skills;
  • Proficiency in Google Suite or other office productivity tools, with aptitude to learn new software;
  • Ability to work flexible hours, including some nights and weekends;
  • Fluency in English required and another language preferred;
  • Must have reliable transportation.
