Job Summary

Position Summary

Position is responsible for supporting the financial, technology and administrative operations of the organization to include grant billing, financial reporting, computer hardware management and agency purchasing as well as other special projects as assigned by the CFO.
Relationships and Contacts

Within the organization:  Initiates and maintains frequent and close working relationships with peers, immediate supervisor, other supervisors, directors, Vice Presidents, and other senior leadership.

Outside the organization: Position maintains frequent and close working relationships with vendors and contractors.

Essential Responsibilities

  • Assist with invoicing government grants and contracts by tracking expenditures allowable under grant contracts to ensure compliance and full use of grant funds; prepare and submit quarterly funder reports as directed.
  • Ensure financial transactions are processed in compliance with company policies and GAAP.
  • Manage and maintain ongoing accuracy of general ledger and subsidiary ledgers.
  • Prepare reports for management regarding the status of ongoing projects or capital expenditures.
  • Process vendor payments through the agency’s accounts payable system as needed.
  • Process accounts receivable payments through the agency’s designated depository system as needed.
  • Manages the agency phone system, setting up new users and modifying user information as requested; maintains list of staff phone numbers.
  • Manages business accounts for cell phones and jetpacks, initiates new service; purchases upgrades; deletes accounts; performs periodic reviews.
  • Acts as liaison between IT contractors and the CFO; reviews quarterly performance reports on responsiveness of the IT vendor to service requests; escalates service tickets as needed.
  • Manages/coordinates upgrades and replacements of computer equipment as approved by the CFO.
  • Maintains an inventory of all computer equipment and processes staff requests for temporary use of computer equipment not in active service.
  • Monitors and updates as needed (a) the list of managed users serviced by the agency’s third-party IT support vendor, (b) the list of authorized, licensed users of Office 365, (c) the directory of authorized email addresses for the ywcanashville.com domain and (d) members of email groups in use at the agency.
  • Works with the agency’s third-party IT support vendor to manage cloud-based resources’ storage space and directory structures.
  • Serves as the in-house systems administrator for the Microsoft Teams application to include user and workgroup setup and maintenance and creating and managing channels; liaisons with the IT support vendor for Teams-related problem resolution.
  • Coordinates with the designated IT support vendor to add or delete YW user accounts and  submits technology support requests by authorized individuals to the agency’s third-party IT support vendor with the approval of the CFO.
  • Acts as the YWCA purchasing coordinator, researching purchasing options and making recommendations to the CFO.

Additional Responsibilities

  • Assist the CFO with annual external company audit and funder audits.
  • Serve as back-up Payroll Administrator.
  • Assisting in ad hoc tasks and perform other duties as assigned.

Qualifications

Minimum Requirements

Education and Experience

Position requires a minimum of a bachelor’s degree in Accounting or Finance or related field with a minimum of three years’ accounting experience.  Working knowledge of non-profit accounting principles and practices preferred.

  • Tolerant to various noise levels: noise level in the work environment varies – may be very quiet to moderate
  • Job performance will require the ability to move throughout the building as well as sit or remain stationary for extended periods of time
  • While performing the duties of this job, the employee may be required to talk or hear, sit, stand, walk, reach, climb or balance, stoop, kneel, crouch or crawl, taste or smell.
  • Ability to move 25 pounds

Other Requirements

Position requires incumbent to have a valid driver’s license, vehicle insurance and a clear driving record for the last three years.
