As an Office Manager & Medical Coordinator, you will be primarily responsible for serving as the subject matter expert of Point Comfort Underwriter Insurance, ensuring effective operations at the site location; developing positive working relationships with contracted providers; and providing administrative support to the Refugee Medical Program. This individual is also responsible for reconciling and addressing all billing errors to ensure accurate billing with no profit loss.

This position is expected to function effectively with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.

Job Responsibilities

ESSENTIAL JOB RESPONSIBILITIES:

  • Ensure effective operations through selection, training, motivation, evaluation and development of a competent on-site team
  • Arrange for replacements as needed to ensure adequate staffing for the needs of the program
  • Assist with transporting clients to medical appointments and/or pharmacy, as needed
  • Coordinate on-site duties and tasks in partnership with supervisory staff to meet the goals and objectives of the program
  • Formulate treatment authorization request to Point Comfort Underwriters for unaccompanied refugee clients
  • Serve as the subject matter expert of Point Comfort Underwriters Insurance
  • Develop, recruit, and maintain positive working relationships between contracted providers
  • Manage and maintain the record-keeping process to ensure there is an effective filing system in which information is forwarded smoothly
  • Reconcile and address all billing errors to ensure accurate billing with no profit loss
  • Administer the initial refugee health screening process
  • Coordinate a schedule of medical appointments, and arrange meeting locations and transportation
  • Effectively communicate with clients and appropriate internal staff about scheduled appointments and arrange reminder in Outlook email calendar
  • Maintain accurate, up-to-date information on foster children in care while meeting DHS, ORR, and Bethany’s documentation and reporting requirements
  • Promptly address incoming calls and route them to the appropriate person
  • Sort and distribute branch mail, along with scheduling mail pick-ups and deliveries
  • Oversee office supply inventory and order approved materials as needed
  • Stay abreast of all agency, federal, and state regulatory requirements related to social services
  • Periodically travel to health care provider facilities to build positive working relationships and transport clients
  • Complete other duties as assigned.

Qualifications

Qualifications:

  • High School Diploma or equivalent
  • At least one (1) year of experience working with clients for medical assistance needs, at least two (2) years of experience working with clients for medical assistance needs, strongly preferred
  • Bilingual Spanish/English fluency, preferred
  • Excellent verbal and written communication skills
  • Must have an ability to provide excellent and compassionate customer service
  • Ability to work independently and exercise a high level of confidentiality
  • Must be reliable with time sensitive deadlines and tasks
  • Work well under pressure and adaptable to change
  • Computer and typing skills sufficient to perform essential job functions
  • Active motor vehicle license
  • Maintain a reliable automobile with adequate insurance coverage
  • Pass a criminal history screen, including state and local child protection agency registries
  • Subscription to and integration of the agency Statement of Faith, Mission Statement, and Cultural Diversity Commitment.
